Position Summary
We are seeking a highly organized Post-Funding & MERS Administration Specialist to support mortgage operations, servicing coordination, and post-closing compliance activities. This role is responsible for managing MERS registrations, final document tracking, investor document delivery, FHA file processing, and servicing coordination to ensure loans meet investor and regulatory requirements.
The ideal candidate will have experience in mortgage post-closing, collateral management, servicing documentation, and investor compliance.
Key Responsibilities
MERS Administration
Register loans in the Mortgage Electronic Registration System (MERS) upon closing
Process MERS loan transfers after funding
Run and reconcile monthly MERS reports and distribute to internal stakeholders
Track and allocate MERS registration fees per loan and coordinate reporting for accounting
Assist with MERS quality control and compliance reviews
Support preparation of annual and bi-annual MERS reporting requirements
Maintain Corporate Resolution Management System (CRMS) compliance for signing officers, including annual testing and quarterly attestations
Final Documents & Investor Collateral Management
Track and manage trailing documents for investor loans, including Freddie Mac and other investors
Monitor investor reports and follow up on missing or delinquent security documents
Send trailing documents to investors via secure delivery methods
Coordinate re-recording of mortgages or deeds of trust when corrections are required
Work with title companies and legal counsel to resolve documentation issues
Cooperative Loan Review
Review collateral documentation for cooperative loans for completeness and accuracy
Prepare and send documents to investors for collateral review
File UCC-3 Assignments to MERS with appropriate county recording offices
Servicing Coordination (DMI)
Process paid-in-full mortgage satisfactions and document releases
Maintain internal payoff tracking reports and reconcile with monthly servicing reports
Provide documentation to servicing partners for foreclosure processing or assignments
Request and distribute original loan notes from custodians when required
Post-Funding Operations
Update the loan purchase advice data in Encompass after funding
Upload funding documentation to the warehouse banks
Generate daily funding and shipping reports
Prepare and distribute Good-Bye Letters and Hazard Insurance Letters to borrowers
FHA Loan Support
Upload FHA files to the FHA Catalyst System
Monitor loan endorsements and obtain Mortgage Insurance Certificates (MICs)
Maintain FHA loan documentation files and binders
Additional Support Duties
Review closing packages for missing documents or errors
Communicate with escrow companies and settlement agents to obtain corrections
Assist with post-closing conditions and note delivery tracking
Complete and activate PMI certificates after loan funding
Coordinate title claim issues and follow up with underwriters when needed
Required Qualifications & Skills
3 years of experience in mortgage operations, post-closing, or servicing support
Knowledge of MERS, FHA loan processes, and investor collateral requirements
Experience With Encompass Or Other Loan Origination Systems Preferred
Strong organizational and document tracking skills
Ability to manage multiple investors and regulatory deadlines
Strong attention to compliance and detail
