Job Overview
The Client Services Coordinator / Office Administrator will serve as the front line of communication for the firm, managing inbound calls and emails, assisting clients with secure document portal access, and helping ensure tax preparation workflows remain organized and on schedule. The ideal candidate is detail-oriented, proactive, professional in communication, and comfortable managing multiple priorities simultaneously.
Key Responsibilities
Client Communication & Support Serve as the first point of contact for incoming client calls and emails Provide professional, timely, and high-quality customer service Assist clients with navigating and utilizing the firm’s secure client portal Follow up with clients regarding missing documents, deadlines, and information requests Maintain professional and positive communication with clients throughout the tax preparation process
Administrative & Office Coordination Manage inbound and outbound communications for the office Schedule appointments and coordinate calendars as needed Maintain accurate client records and internal documentation Organize, upload, and track client files within internal systems and portal environments Assist with document management and workflow coordination during busy tax periods
Workflow & Team Support Support the tax preparation process by monitoring outstanding items and ensuring timely follow-up Collaborate closely with accounting and tax staff to maintain efficient workflow processes Assist with general office operations and administrative support tasks Help maintain a highly organized and client-focused office environment
Required Qualifications: 2 years of experience in an administrative, office support, customer service, or client coordination role Excellent verbal and written communication skills Strong organizational skills and attention to detail Experience managing phone and email communication in a professional environment Comfortable working with technology, secure document portals, and file management systems Ability to manage multiple priorities and deadlines effectively Ability to work full-time in an in-office setting
Preferred Qualifications: Prior experience within an accounting, tax, legal, financial services, or other professional services environment Experience supporting document-heavy workflows and deadline-driven processes Familiarity with client portals, CRM systems, or document management software Basic understanding of bookkeeping or tax office workflows is a plus
