Job Summary
Crawford & Associates, Inc. is seeking an Accounting Administrator to support the company’s accounting and payroll operations with a strong focus on public works projects. This role is responsible for processing payroll and certified payroll in compliance with prevailing wage requirements, administering payroll‑related benefits, managing accounts payable functions, and performing routine reconciliations. The ideal candidate is organized, compliance‑driven, and committed to accuracy, confidentiality, and regulatory adherence within public works and construction accounting environments.
Key Responsibilities
Payroll, Certified Payroll & Benefits Administration
- Process bi‑weekly payroll accurately and on time in accordance with federal, state, and local regulations, including prevailing wage laws.
- Prepare, review, and submit certified payroll reports for public works projects in compliance with DIR, LCP tracker, and contract requirements.
- Ensure accurate classification of labor, wage rates, fringes, deductions, and job cost allocations for public works payroll.
- Maintain payroll records, timesheets, deductions, and employee data with strict attention to detail and confidentiality.
- Administer payroll‑related benefits, including benefit deductions, fringe benefit allocations, and reconciliation of benefits applied to certified payroll.
- Monitor compliance with wage determinations, union agreements, and public agency reporting requirements.
Accounts Payable & Reconciliations
- Process vendor and subcontractor invoices, ensuring proper coding, approvals, retention handling, and compliance with public works requirements.
- Reconcile payroll, benefits, fringe, and general ledger accounts on a regular basis.
- Assist with month‑end and year‑end close activities related to payroll, benefits, and accounts payable.
- Investigate and resolve discrepancies related to payroll reports, certified payroll submissions, invoices, and account balances.
- Maintain accurate and well‑organized financial documentation to support audits, public agency reviews, and compliance requests.
Internal Coordination & Documentation
- Collaborate with accounting, HR, and project management teams to ensure accurate payroll reporting and financial compliance for public works projects.
- Maintain accurate employee, vendor, project, and account records within accounting and payroll systems.
- Assist with internal and external audits, labor compliance reviews, and public agency documentation requests related to payroll and accounting.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- 1–3 years of accounting experience, with direct exposure to payroll and certified payroll for public works or construction projects preferred.
- Experience with payroll systems, certified payroll reporting platforms, and accounting software (Ajera experience preferred).
- Proficiency in Microsoft Excel and Microsoft Office applications.
Knowledge & Skills
- Basic understanding of accounting principles and construction or public works accounting practices.
- Working knowledge of prevailing wage laws, certified payroll requirements, and payroll‑related benefits administration.
- Strong attention to detail and ability to maintain compliance with complex regulatory requirements.
- Ability to perform reconciliations, analyze discrepancies, and resolve issues efficiently.
- Effective verbal and written communication skills.
- Ability to manage confidential payroll, employee, and financial information responsibly.
- Strong organizational and time‑management skills with the ability to meet strict reporting deadlines.
- Ability to work independently while collaborating effectively with cross‑functional teams.
Working Conditions
This position is office‑based with a standard schedule of Monday–Friday, 8:00 am to 5:00 pm. There may be potential schedule variation during payroll processing periods, certified payroll deadlines, or peak reporting cycles.
