Responsibilities
- Manage incoming calls using multi-line phone systems with professionalism and courtesy, adhering to proper phone etiquette
- Assist with dispatching tasks, coordinating schedules, and maintaining accurate records of appointments and deliveries
- Utilize software such as QuickBooks, Microsoft Office, and Google Workspace for data entry, filing, and document management
- Provide exceptional customer support via phone and in person at the front desk, ensuring positive interactions
- Maintain organized files and documentation, including proofreading and verifying data accuracy
- Support office management tasks such as calendar management, appointment scheduling, and general administrative duties
- Handle billing, bookkeeping, and basic office bookkeeping tasks as needed
- Perform clerical duties including typing, data entry, filing, and proofreading documents to ensure accuracy and professionalism
- Assist with other administrative functions related to dispatching and office operations as required
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
- Experience with QuickBooks or similar accounting software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong communication skills with professional phone etiquette; bilingual abilities are a plus
- Previous experience in customer service or front desk roles; medical or dental receptionist experience is advantageous
- Ability to handle multi-line phone systems efficiently and courteously
