Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings with precision and timeliness.
- Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing excellent customer support.
- Prepare correspondence, reports, and presentations utilizing Microsoft Office and Google Workspace tools with accuracy and attention to detail.
- Maintain organized filing systems, perform data entry, and ensure all documents are properly stored and easily accessible.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Greet visitors at the front desk, provide exceptional customer service, and direct inquiries appropriately.
- Support office management functions including supply procurement, maintaining office equipment, and overseeing clerical operations.
- Coordinate travel arrangements, manage personal assistant tasks, and assist with special projects as needed to enhance overall efficiency.
Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role within an office environment.
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Bilingual abilities are highly desirable to facilitate communication with diverse stakeholders.
- Experience with office management procedures, clerical tasks, filing systems, and customer service standards.
- Knowledge of multi-line phone systems, phone etiquette, and front desk operations is essential.
- Background in bookkeeping or familiarity with QuickBooks is advantageous but not mandatory.
