POSITION SUMMARY:
The Gift Processing and Database Specialist is responsible for data entry and maintenance primarily in the Raiser's Edge database for gift recording, maintaining data integrity and supporting effective office systems. The position is responsible for processing gifts and generating acknowledgement letters regularly. It also requires managing all routine data updates and imports. Activities related to this position will support fundraising goals for the philanthropic needs of Craig Hospital Foundation.
POSITION REQUIREMENTS:
- Licensure/Certification/Registrations: None
- Education: Bachelor's Degree in relevant field required.
- Experience: Minimum of five years of experience in an administrative support role with a minimum of two years in a fundraising office using Raiser's Edge. Database and gift processing experience required.
- Skills & Abilities: Ability to maintain a high degree of accuracy in routine work. Work independently and problem solve as required. Strong attention to detail, accuracy, and dependability. Ability to manage multiple projects simultaneously while meeting deadlines. Ability to deal with diverse and confidential information with discretion and good judgment. High level of typing accuracy and speed. Proficient in Raiser's Edge, Internet research/ navigation and Microsoft Office suite. Strong interpersonal skills. Excellent written and verbal communication skills.
ESSENTIAL FUNCTIONS
- Responsible for efficiently and accurately processing donations that are received from a variety of sources, including, but not limited to, checks, payroll deduction, online giving software, and various third-party fundraising platforms.
- Prepares acknowledgement letters for all types of gifts including, but not limited to, cash, pledges, pay-cash, recurring gifts, tribute gifts, matching gifts, and in-kind contributions.
- Works closely with annual giving staff and major gift solicitors to manage the acknowledgement process by selecting appropriate letters for each donor, promptly getting letters to signers, proofreading for accuracy, and tracking that each donor is appropriately thanked.
- Manages the acknowledgements for tribute gifts including communication with the person or persons for whom the donation is in honor or memory.
- Contacts donors when there are questions about their gift such as the name of the person being recognized or the purpose of the gift.
- Responsible for accurately tracking campaigns, funds, appeals, and packages on gifts and routinely reporting gift activity to staff.
- Responsible for monthly revenue reconciliation between Foundation and Business Office
- Responsible for data entry of biographical updates to constituent records, including monthly staff import, alumni import, and internal RE add/change form. Records merge lead.
- Responsible for generating and sending annual statement letters and tax receipts.
