As a Personal / Executive Assistant/Valet, you will be assisting the President and CEO with a broad variety of tasks and assignments.
Role Overview
Your role is to provide comprehensive support to the CEO/ Executive Team, ensuring they have the tools, resources, and information necessary to make informed decisions and operate efficiently. This is a high-profile, demanding, and rewarding position for a detail-oriented, flexible, and highly organized professional. You will handle sensitive and confidential matters with discretion, while delivering top-tier support to busy executive and assisting with both professional and personal tasks for the CEO.
Key Responsibilities
Travel & Packing
- Coordinate all travel arrangements (flights, accommodations, itineraries) for the CEO and family/guests.
- Prepare and pack luggage for trips, ensuring clothing and personal items are organized and ready.
- Anticipate travel needs by arranging appropriate attire, accessories, and Travel with CEO , and take care of appointments and arrangements while travelling.
Household, Lifestyle & Pet Support
- Assist with cooking, meal preparation, Menu planning, coordinating catering/meals.
- Run errands such and perform household duties as shopping, picking up dry cleaning, or ironing, etc.
- Oversee household staff, vendors, and service providers for the CEO’s home, office, and warehouse facilities.
- Maintain household inventories (supplies, pantry, and wardrobe) and ensure readiness for daily needs.
- Walk the and care for the dog (French Bulldog) and cats dog, prepare meals and manage pet travel arrangements and its documentation, etc.
- Assist with arranging medical appointments, prescriptions and supplements.
- Provide General help and support as needed on a variety of business or personal related tasks that may come up.
Executive Support
- Manage the CEO’s calendar, emails, appointments, and Zoom calls.
- Draft, organize, and maintain correspondence, documents, spreadsheets, and meeting materials.
- Reconcile Personal and Business expenses and manage credit card statements.
- Provide executive-level support to the CEO and direct reports when required.
Skills & Competencies
- Quick learner; able to manage time‑sensitive matters.
- Flexible to work evenings/weekends for urgent travel or last‑minute changes.
- Strong judgment, attention to detail, and ability to follow direction
- Excellent communication and teamwork skills.
- Advanced MS Office proficiency and strong computer literacy.
- Effective problem‑solving and critical thinking abilities.
- Skilled at prioritizing and staying organized under pressure.
- Exceptional writing and grammar for professional correspondence-Confidentiality Agreement required.
- High discretion in handling confidential information.
- Strong organizational skills with consistent deadline management.
Qualifications & Experience
- A post-secondary Degree in administration/business, concierge/valet.
- 3 years senior executive support experience.
- Strong travel planning and coordination skills.
- Ability to manage multiple urgent tasks and priorities.
- Experience with vendors, service providers, and household operations.
- Proficiency in Outlook, Word, Excel; strong internet/AI research skills.
- Skilled in document management and format conversions.
- Valid driver’s license and reliable transportation.
- Experience with pet care and supporting teenage family members.
- Culinary or holistic nutrition background an asset.
- Flexible for last‑minute travel and varied time zones.
- Must have a valid passport and be able to travel to Canada and internationally.
