The office assistant is responsible for providing general administrative and clerical support to ensure the office operates efficiently. This role involves performing a variety of tasks, including managing office supplies, assisting with communication, and helping with office organization.

Key Responsibilities:

  • Reception & Communication:
  • Answer and direct phone calls to appropriate departments or staff members.
  • Greet and assist visitors, ensuring they feel welcome.
  • Handle incoming and outgoing mail, emails, and packages.
  • Schedule appointments and meetings for office staff.
  • Administrative Support:
  • Perform data entry and maintain accurate office records and files.
  • Organize and schedule office activities (meetings, events, travel).
  • Prepare reports, presentations, and correspondence.
  • Maintain office supplies and order new stock as needed.
  • Office Organization:
  • Maintain a clean and organized office environment.
  • Coordinate office equipment maintenance and repairs.
  • Assist in managing office space, including seating arrangements and meeting room bookings.
  • Document Management:
  • File, retrieve, and organize documents as needed.
  • Prepare and process invoices, expense reports, and other administrative forms.
  • Other Duties:
  • Assist with HR-related administrative tasks, such as new employee onboarding.
  • Help with office events or team-building activities.
  • Perform any additional tasks assigned by office managers or supervisors.

Required Skills & Qualifications:

  • Strong communication and interpersonal skills.
  • Basic knowledge of office software (Microsoft Office, Google Suite, etc.).
  • Organizational skills and the ability to multitask effectively.
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information.

Preferred Qualifications:

  • Previous office experience or administrative support.
  • High school diploma or equivalent (Associate's degree or higher is a plus).

Work Environment:

  • Full-time position (Monday to Friday).
  • Office-based (may involve occasional remote work or flexible hours, depending on the company).

Pay: $23.42 - $28.21 per hour

Expected hours: 40.0 per week
