Your Day To Day
We are seeking an experienced and detail-oriented Customer Service Representative III to join our Sales & Marketing team. This role is responsible for managing complex order processing, customer communications, and cross-functional coordination to ensure timely and accurate fulfillment of customer requirements. The ideal candidate will have strong analytical skills, a deep understanding of order management systems, and the ability to navigate regulatory and procedural requirements with precision.

Your Day To Day
We are seeking an experienced and detail-oriented Customer Service Representative III to join our Sales & Marketing team. This role is responsible for managing complex order processing, customer communications, and cross-functional coordination to ensure timely and accurate fulfillment of customer requirements. The ideal candidate will have strong analytical skills, a deep understanding of order management systems, and the ability to navigate regulatory and procedural requirements with precision.
You Will Be Accountable For
Order Processing & Fulfillment
- Match orders to quotations: verify pricing, part numbers, and descriptions
- Perform accurate data order entry including updating required fields in CRM/ERP internal coding (product codes, harmonized system numbers, inspection requirements, quality notes etc.)
- Compile and maintain comprehensive order files
- Expedite orders to ensure on-time delivery and customer satisfaction
- Communicate order status and updates to customers
- Manage order lifecycle: order entry, acknowledgment, revision, and manage returns
- Prepare repair quotations and maintain CRM documentation
- Support and maintain accurate forecasts
- Generate and review reports (e.g., monthly bookings, forecasts) and take corrective actions
- Coordinate with internal departments (Production, Planning Quality Assurance, Contracts, Finance) to resolve issues and meet delivery timelines
- Support/Manage marketing initiatives such as advertising, trade show demos, giveaways
- Support other departments as needed
- Review orders for Export Control compliance and take necessary actions
- Ensure adherence to Federal Procurement/Uniform Commercial Code and company sales terms
- Maintain files and archives as necessary
- Serve as liaison between Product Marketing Managers, Sales Teams and internal departments such as Planning during order management process for scheduling
- Address delivery issues and coordinate resolutions with Product Marketing Managers and Sales Team
- Support and prioritize shipments in case of delinquencies (on-time delivery focus)
- Report program or technical issues to Business Unit Manager and Product marketing Team
- Prepare customer correspondence and program-related documentation
- Perform other duties as needed and assigned.
- Bachelor’s Degree and/or 3 years of experience in customer service, order management, or sales operations
- Strong attention to detail and organizational skills
- Proficiency in ERP and CRM systems (JDE and Microsoft Dynamics) preferred
- Familiarity with export regulations and procurement compliance preferred
- Excellent communication and problem-solving abilities
- Ability to work cross-functionally and manage multiple priorities, Flexibility is a must!
- Experience in a manufacturing or sales operations environment preferred
- Knowledge of harmonized system codes and international shipping documentation preferred
- Understanding of government contracts, processes and systems such as WAAF preferred
- This position requires potential access to technology controlled under the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR). The successful candidate must be a “U.S. Person” as defined under ITAR and EAR. In order to be a U.S. Person for ITAR and EAR purposes, you must (i) be a citizen or national of the United States; or (ii) be a lawful permanent resident of the United States; or (iii) a protected individual as defined by 8 U.S.C. 1324b(a)(3).
