The Pool Office Operations Manager is the backbone of CPC's day-to-day operations. This is a high-visibility role, high-impact role where you will run the office, manages our field team, coordinates routes and schedules, and serves as the primary point of contact for our customers. Responsibilities
Office and Customer Operations
- Answer incoming calls and respond to service inquiries promptly, accurately, and professionally.
- Coordinate scheduling cleanings, maintenance visits, openings, closings, repairs and renovations.
- Process work orders, service requests, and customer accounts.
- Handle all customer issues, complaints, and follow-ups with confidence and care.
- Maintain accurate records of service, invoicing, and customer history.
- Support sales of seasonal packages, supplies, and add-on services.
Employee Management
- Manage, schedule, and direct a team of pool technicians and coordinate surge staffing during peak opening and closing seasons.
- Build efficient weekly schedules that align staffing to workload and weather demands.
- Onboard and train new employees on company standards, procedures, and customer expectations.
- Monitor performance, address issues proactively, and cultivate a positive team culture.
Route Planning & Workflow Management
- Design and optimize daily service routes for maximum efficiency and on-time performance.
- Adjust routes in real-time to accomodate for weather delays, emergency calls, and staff call-outs.
- Track route completion and ensure all work is performed to CPC quality standards.
- Identify to the owner any opportunities to optimize the workflow, create process efficiencies, and save money.
Pool Industry Expertise
- Serve as the in-house expert on water chemistry, equipment, and seasonal service best practices.
- Provide technical support and guidance to field technicians in the field and by phone.
- Evaluate service quality and ensure work meets industry and safety standards.
- Create revenue streams by supporting estimates of new accounts, one-time services, repairs, and renovation projects.
- Stay current on new products, equipment, chemicals, and code requirements.
Qualifications & Requirements
- Minimum 3-5 years of hands-on experience in the pool industry (service, maintenance, operations, or retail).
- Deep working knowledge of pool chemistry, water balance, filtration systems, heaters and common pool equipment.
- Experience managing field employees.
- Excellent phone and interpersonal skills- you will be the voice of CPC Pools.
- Strong organizational and multi-tasking skills with the ability to stay calm and client centric in a high-volume, seasonal environment.
- Proficiency with scheduling software, route management, or field service platforms.
- Valid driver's license with a clean driving record.
- Ability to work flexible hours including evenings, weekends, and holidays as needed.
Preferred Qualifications
- CPO (Certified Pool Operator) certification or equivalent
- Knowledge of Long Island pool market, competitive landscape, and local code requirements.
Schedule
Full time role. Peak season (April -October) Monday- Saturday. In off-season (November-March) Monday to Friday work schedule.
Pay: From $75,000.00 per year
