Shipping and Receiving Specialist

Position Overview:

The Receiving Specialist at Coyote Moon is a hybrid operational-and-sales role that anchors the flow of merchandise from vendor to customer. You’ll help guide products from the moment they arrive to the moment they reach our customers, checking in shipments, organizing inventory, preparing items for the sales floor, and supporting the team with simple reports and restocking. You’ll also step onto the sales floor when needed to help customers find pieces they love. This position reports directly to the Store Manager.

Job Responsibilities:

• Receiving — Open and check in shipments, compare items to purchase orders, and make sure everything arrives in good condition. Communicate any damages to vendors quickly. Work with receiving and sales staff to get new items prepped and ready for the floor.
• Shipping — Provide warm, helpful customer service to long‑distance customers by taking orders over the phone, carefully packing merchandise, and preparing shipments so items arrive safely and beautifully.
• Purchase Orders — Partner with the Store Manager to track what’s been ordered, what’s arrived, and what still needs follow‑up. Enter new products into our POS system, keep stock counts accurate, and help maintain an organized backroom.
• Reporting — Create monthly sales reports and daily inventory reports. Notice trends, like fast sellers or items that need restocking, and share them with the team.
• Inventory Management — Keep our POS database accurate and up‑to‑date. Reconcile inventory differences and help maintain smooth annual inventory counts by performing smaller targeted counts throughout the year.
• Restocking — Refill the sales floor, steam or tag products, and make sure everything looks clean, neat, and customer‑ready.
• Sales — Step in as a sales associate when needed. Greet customers, answer questions, and help them enjoy their shopping experience.
• Special Projects — Assist with seasonal resets, display changes, and other projects as needed.

Work Environment

Work is generally performed in an office setting. However, work also occurs in a warehouse/inventory setting and boutique setting. This position regularly interfaces with the public and customers by phone and in person and is expected to maintain a professional appearance. Noise level ranges from quiet to moderate.

Required Qualifications / Skills:

• Proficient with Microsoft Office and computers, particularly in working with spreadsheets and databases, or ability to learn
• Excellent verbal and written communication skills, with an ability to communicate clearly in a variety of settings, such as in-person, over the phone, and via email
• Ability to achieve accuracy in data entry, purchase order reconciliation, and quality control
• Ability to generate and interpret sales and inventory reports
• Familiarity with POS or inventory systems. Experience with Lightspeed is a plus
• Ability to lift boxes (~40 lbs), move efficiently in a stockroom, and handle garments with care
• Able to confidently assist customers on the sales floor when covering shifts
• Skilled at maintaining structured stockrooms and managing multiple workflows simultaneously
• Ability to transition smoothly between back-of-house and customer-facing tasks

Preferred Experience:

• Experience in a retail setting is highly desired

Required Education/Work Experience:

• High school diploma, GED, or equivalent

Physical Requirements:

• Ability to lift up to 40 lbs.
• Ability to walk up/down several flights of stairs daily
• Ability to stand or sit for prolonged periods
