This position will be responsible for supporting a diverse team and is often the first point of contact for our client/community members. Excellent oral and written communication is necessary.

JOB RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:

  • 32 hours per week, Monday - Friday between 9:00am -5:00pm.
  • Limited evening or weekend availability for trainings or events required.
  • Provides administrative support to ensure efficient operation of the CCCA organization.
  • Maintains strict confidentiality internal and external.
  • Maintains calendars, email accounts, prepares reports, sends cards and letters, makes deposits, and files court reports.
  • Exhibits polite and professional communication in person and via phone, email, and mail.
  • Answers phone calls, takes detailed messages, email on and offsite team members, and supports visitors and team members, as needed/requested.
  • Schedules meetings and training, and ensures spaces are set up and ready.
  • Maintain and organize CCCA's physical and electronic databases and confidential documents/files.
  • Data Entry- new case entry, dismissals, hours, and case assignments, etc.
  • Supports the team by performing tasks related to organization/ programs to include background checks, process mail, copying, printing, faxing, scanning, etc.
  • Ensures maintenance of office equipment by completing preventative maintenance, calling for repairs, maintaining/ restocking office equipment, keeping inventories and evaluating new office equipment and techniques.
  • Maintains supplies, inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Maintains office to ensure cleanliness of all common spaces.
  • Other expanded duties are possible dependent on program needs and successful applicant experience.

Qualifications and Requirements

  • Experience in Administrative Assistance, specifically in the legal field, nonprofit organizations, and/or child welfare, preferred.
  • Experience working with database CASA Manager is desirable.
  • Bilingual, is desirable.
  • Ability to prioritize and efficiently manage multiple tasks and projects in order to meet mandated deadlines and effectively communicate project progress and needs.
  • Strong organizational skills with excellent attention to detail.
  • Ability to offer and receive critical analysis and constructive feedback.
  • Capable of establishing and maintaining effective working relationships with staff, volunteers, and community partners.
  • Ability to maintain strict confidentiality and professional boundaries.
  • Knowledge and application of self-care and stress management practices.
  • Strong computer skills, proficiency with Microsoft Office (Word, Excel, PowerPoint, etc.), Google Workspace Suite for nonprofits (Gmail, Google Docs, etc.), Adobe, and ability and willingness to learn new software and applications.
  • Ability to operate office equipment, photocopy and fax machines, etc.
  • Ability to review large volumes of written data - print and electronic.
  • Ability to work independently and part of a multidisciplinary team.
  • Display initiative to resolve and prevent issues.
  • Dependable and adaptable, displays welcoming disposition.
  • Ability to lift – up to 30lbs, packages delivered.
  • Must be respectful of all people regardless of race, ethnicity, culture, socioeconomic background, religion, gender identity, sexual orientation or disability.
  • Criminal background clearance; Federal fingerprint, State criminal check, Child Protective Services history check, Sex Offender registry check.
