Job Title: Part-Time Administrative Support Specialist
Division/Section/Unit: Glendale Business Office / Administration
Job Summary: Under the supervision of the Business Manager, supporting administration in the receiving, digitizing, phones, and otherwise organization of mail and client files. Assisting in other business support areas as needed and as special projects arise. This work to be conducted on a part-time basis; twenty (25) to thirty (30) hours per week. Preferrably 9:30 AM to 3:30 PM Monday thru Friday however flexible on the hours. Could evolve into a full time position in the future.
Primary Duties
You will be responsible for opening and logging the daily mail and distribution, either digitally or by hard-copy, to the appropriate staff member(s). Processing paperwork, documents, and packages as they come in the mail, organizing them in the proper files for reference, and gathering information for different departments when requested. Attention to detail is vital in this role to ensure information can be retrieved quickly and easily. The filing, scanning, and logging of incoming mail and documents is a primary duty of this position.

Education or Equivalence: The ideal candidate has a high school diploma and 3 to 5 years of business office experience. A great work ethic, values, be a team player, and positive attitude will substitute for less experience.
Compensation: Part-time starting hourly rate - $22 to $24 per hour. Paid every two weeks.

Duties and Responsibilities
- Process mail and file court-generated documents and other paperwork
- Scan documents and upload digital copies to the company database
- Maintain digital and hardcopy filing systems in accordance with company protocol
- Retrieve documents when requested
- Deliver requested files to staff members
- Make necessary updates to records with new information; maintain files in accordance with company file retention protocol
- Maintain or develop proficiency in technologies needed to efficiently provide all file-related services
- Answer incoming calls - as a backup to other business staff
