Responsibilities
- Purchasing Support — Assist with creating, reviewing, and submitting purchase requisitions and purchase orders.
- Vendor Communication — Contact suppliers regarding order status, pricing discrepancies, product availability, and backorders.
- Invoice Review — Support Accounts Payable with 2‑way and 3‑way match verification between invoices, POs, and receipts.
- Data Accuracy — Maintain accurate item records, pricing updates, and contract-aligned product information in supply chain systems.
- Contract Alignment — Assist in validating that purchases follow contracted pricing and approved vendor lists.
- Spend Analysis — Help track purchasing trends, cost savings opportunities, and utilization patterns.
- Administrative Tasks — Support documentation, filing, and preparation of purchasing and A/P reports.
- Light Receiving Tasks — Provide occasional support to receiving staff for verification of deliveries when needed.
- Confidentiality Compliance — Ensure accuracy, confidentiality, and professionalism in all tasks.
- Other Duties — Perform other duties as assigned to support the Supply Chain & Materials Management team.
EDUCATION/EXPERIENCE REQUIREMENTS
- High School diploma required.
- Current student pursuing a degree in Supply Chain Management, Business, Healthcare Administration, Accounting, or a related field.
- Prior experience in purchasing, accounting, or supply chain is preferred but not required.
- Strong written and verbal communication skills.
- Exceptional attention to detail and ability to see the big picture.
- Familiarity with purchasing systems, ERP platforms, or accounting workflows is a plus.
- Basic understanding of procurement, accounts payable, or supply chain principles preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple tasks and manage priorities effectively.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
- Primarily office-based with frequent sitting, computer work, and communication tasks.
- Occasional standing, walking, and light lifting up to 20–30 lbs.
