Cove Dental Care is a privately owned, two-location dental practice in Greer and Easley built around prevention-focused, relationship-based dentistry. We're not corporate, and we have no plans to be. We're growing on our own terms with modern tools, strong systems, and a leadership team that genuinely leads.

Our practice is owned and operated by Drs. Adam and Neely Carraway. We're looking for an experienced front office team member who wants to build a long-term career with a growing practice and be part of a team that puts patients and one another first.

What You'll Do

As our Patient Care Coordinator, you'll be an important part of our front office team, working closely with our Treatment Coordinator and Appointment Coordinator to keep the patient experience and daily schedule running smoothly.

Your role will be focused on supporting patients from their first phone call through their ongoing care, while helping the front office stay organized and prepared. You'll help ensure tomorrow's schedule is ready before tomorrow arrives, treatment plans are accurate and ready for presentation, and patients receive the communication and follow-through they deserve.

This role is ideal for someone who is organized, warm and confident on the phone, energized by a busy front desk, and takes pride in creating a patient experience that feels calm, personal, and well organized.

Key Responsibilities

Patient Communication & Scheduling

• Answer inbound calls promptly and warmly, with the goal of helping every caller find an appropriate next step or appointment.
• Schedule new patients and gather complete and accurate information during the initial call.
• Coordinate appointments for recommended treatment in collaboration with the Treatment Coordinator and clinical team.
• Assist with managing the appointment confirmation process, including automated reminders, confirmation calls, and same-day schedule adjustments.
• Help fill last-minute openings using our ASAP, recall, and unscheduled treatment lists.
• Manage emergency appointments and help ensure patients experiencing pain are seen as quickly as possible.
• Greet and check in patients when needed, creating a calm, welcoming, hospitality-driven experience.
  
  

Treatment & Front Office Support

• Support the Treatment Coordinator with treatment planning, scheduling, and patient follow-up.
• Help ensure treatment plans are accurate, complete, and ready for presentation.
• Collaborate closely with doctors, hygienists, and the front office team to coordinate patient care.
• Prepare tomorrow's schedule today by verifying insurance, flagging outstanding balances, and ensuring necessary records and x-rays are available.
• Maintain accurate and timely documentation in the practice management system.
• Help identify and communicate anything that could prevent a smooth patient visit or treatment experience.
  
  

Patient Experience

• Provide clear, compassionate communication throughout the patient's experience with our office.
• Help patients understand their next steps and feel confident moving forward with their care.
• Approach financial conversations with professionalism, empathy, and confidence.
• Create a front-office experience that is warm, organized, and consistent with Cove Dental Care's relationship-based philosophy.
  
  

What We're Looking For

Required

• Previous dental office experience in treatment coordination, front office, scheduling, or a clinical role.
• Strong verbal communication and interpersonal skills.
• Comfortable discussing treatment, finances, and scheduling with patients.
• Highly organized with strong attention to detail.
• Professional, warm, and confident demeanor.
• Ability to stay calm and helpful while managing multiple priorities.
  
  

Preferred, But Not Required

• Experience with insurance verification and treatment estimates.
• Familiarity with Open Dental or similar practice management software.
• Experience coordinating treatment or working alongside a Treatment Coordinator.
• Comfort juggling phone calls, walk-ins, schedule changes, and patient needs without losing warmth or attention to detail.
