Position Summary
The Complex Sales Coordinator supports the sales and operations efforts for two hotels — the Courtyard by Marriott Yonkers Westchester County and the Residence Inn by Marriott Yonkers Westchester County. This position provides administrative and sales support to the Complex Director of Sales and the Complex Hotel Manager. The role is based on-site in Yonkers, NY, with no travel required.
Key Responsibilities
- Prepare and distribute daily, weekly, and monthly sales reports as required.
- Respond promptly to customer inquiries and information requests, either directly or by routing them to the appropriate team member.
- Draft, proof, and distribute correspondence, reports, contracts, and other sales documents, including Banquet Event Orders (BEOs), sales agreements, and statistical reports, in accordance with company policies and procedures.
- Administer and support group bookings, meeting room rentals, and banquet events for in-house functions.
- Coordinate group details and timelines, including rooming lists, cut-off dates, contracts, and BEO deadlines, ensuring accuracy and timely completion.
- Maintain accurate group blocks in property management systems (PMS) such as FOSSE and sales systems such as Delphi.
- Work closely with the front office and operations teams to ensure accurate reservations, billing, and event details.
- Support the sales team with billing setup, routing of charges, and preparation of banquet checks and group folios.
- Review daily arrivals and coordinate welcome amenities for extended-stay guests.
- Track and report weekly sales activities to assist with revenue generation goals.
- Participate in local sales blitzes and outreach activities to develop business for the hotels.
- Maintain an organized inventory of sales collateral, office supplies, and promotional materials.
- Assist with additional administrative or operational tasks as assigned to support the hotel’s overall success.
- Foster a collaborative team environment, supporting colleagues and contributing positively to hotel culture and performance.
Education, Experience, and Skills
- High school diploma required; post-secondary education preferred.
- Minimum 1 year of hotel experience (sales or front office preferred).
- Strong verbal and written communication skills.
- Excellent listening, organization, and problem-solving abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with Delphi, FOSSE, R&I, OnQ, and PEP preferred.
- Demonstrated ability to provide exceptional guest service and support team members.
- Highly organized with strong time management and attention to detail.
- Flexible schedule with availability for occasional evenings, weekends, or holidays as business needs require.
