Distinguishing Characteristics of Work
This position is responsible for administrative and clerical support to the Family Court Services Unit. Essential functions will include answering phone calls, scheduling intake appointments, responding to general inquiries, as well as front-desk operations, such as greeting and directing visitors. The FCS Administrative Assistant will assist with document intake, data entry, scanning, and filing tasks to support the daily operations of the unit.
Specific Duties and Responsibilities:
- Serves as the initial point of contact for the public by greeting visitors, answering telephone calls and providing general information regarding Family Court Services.
- Directs litigants, attorneys and visitors to appropriate staff, programs or resources based on established protocols.
- Performs clerical duties such as copying, scanning, filing and mailing documents to support case processing and administrative workflows.
- Facilitates intake of parties in order to ascertain relevant information for files by obtaining client and case-related information.
- Assists with data entry into case management system and maintain accurate logs and records of incoming/outgoing documents.
- Maintains confidentiality and complies with all court policies and procedures regarding sensitive or protected case information.
- Performs related duties as directed.
Education and Training Guidelines
A High school diploma or GED, as well as at least two years of office experience and strong computer skills is required.
Knowledge, Skills and Abilities
· Knowledge of and ability to use a word processor;
· Ability to work under pressure and meet deadlines;
· Ability to plan and establish priorities for work assignments;
· Knowledge of the rules of English grammar, spelling, and punctuation;
· Ability to communicate effectively;
· Ability to deal tactfully and patiently with employees and the general public;
· Ability to maintain confidentiality concerning sensitive information;
· Ability to lift 10-15 pounds;
· Timeliness and attendance are essential functions of this position.
