Job Summary
The OMS/Administrative Assistant plays a vital role in supporting the daily operations of the dry ice branch. This position is responsible for performing a variety of administrative tasks to ensure efficient office management, effective communication, and accurate record-keeping. The ideal candidate will be organized, detail-oriented, and capable of handling multiple tasks in a fast paced environment.
Key Responsibilities
Administrative Support:
- Manage front desk duties, including answering phones, greeting visitors, and handling general office inquiries.
- Maintain organized filing systems and ensure records are up to date.
- Assist with mail distribution, office supplies management, and coordinating deliveries.
- Assist the Branch Manager and other staff with day-to-day administrative tasks.
- Maintain organized digital and physical filing systems for records, invoices, production data, and employee information.
- Prepare and distribute internal communications, reports, and memos.
- Manage plant/branch foot traffic, incoming calls, emails, and correspondence while
- providing professional customer service.
Operations Support:
- Complete OMS cycle in NetSuite.
- Coordinate and schedule deliveries, ensuring accurate documentation and communication with drivers.
- Track inventory levels, assist with order processing, and maintain supply records.
- Ensure invoices are accurate, maintain Accounts Payable (AP) and Purchase Order (PO) balances, and follow up on past-due accounts to support financial accuracy and efficiency.
- Help manage work orders, production schedules, and shipping documentation.
Compliance & Record-Keeping:
- Support the team with documentation required for audits, inspections, or regulatory compliance.
HR & Payroll Support:
- Assist with onboarding new employees, including gathering documentation and
- coordinating training schedules.
General Office Management:
- Order and maintain office supplies.
- Ensure office equipment is properly maintained and coordinate repairs when necessary.
- Assist in organizing company events, meetings, and staff communications.
Qualifications & Requirements
- High school diploma or equivalent; associate’s degree or additional certifications preferred.
- 2 years of administrative experience, preferably in a manufacturing or industrial setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with data entry systems (NetSuite).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Experience with payroll software (e.g. Paycom) is a plus.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Occasional lifting of office supplies or materials up to 25 lbs.
- Must be comfortable working in an industrial plant environment.
Work Schedule
- Typical hours are Monday – Friday, with occasional overtime or weekend work as needed to meet plant demands.
