Job Summary
Criminal Support Clerks are primarily responsible to provide support to the criminal clerks and senior criminal clerks. This includes having the knowledge to staff all criminal, summary, and miscellaneous court proceedings, as well as the knowledge of the flow of criminal, summary, and miscellaneous court cases, to include the ability to file legal documents and enter appropriate docket entries on these case types. This employee will work as a team with the other support clerks, as well as the criminal and senior clerks, to ensure all work is completed in a timely and efficient manner.
Criminal Support Clerk employees serve as a resource for the judge, litigants and other participants regarding the policies and procedures of the Court and the Clerk’s office. Employees perform a full range of legal clerical work in processing cases before the trial court to include accepting filings (through the PACFile system and via paper), creating batch header sheets, case creation, docketing, scheduling, sentencing, processing warrants, processing bail, etc. Employees must keep accurate records for each participant/case. Criminal Support Clerk employees prepare Clerk Minutes and complete form Orders of Court and serve (mail) Orders of Court. Criminal Support Clerk employees administer oaths to witnesses, interpreters, and jurors; announce information, indictments, and poll jurors for verdicts in the courtroom.
Employees also collect exhibits/evidence presented in trial and maintain an exhibit list and preserve the integrity of the physical evidence to include narcotics, weapons, and biological evidence, to include arranging for appropriate Sheriff’s escort. Employees return evidence to the parties when a defendant is found not guilty or otherwise turns exhibits over to be inventoried until a defendant’s appeals are exhausted and/or maximum sentence is served.
Deputy Clerk Office/Court employees perform case data entry and case maintenance (i.e., processing status, military status) for statistical reporting purposes. At times, coordinate with chambers and Court Administration to adjust schedule and distribute overflow cases.
Employees respond to inquiries related to court in person, email and by telephone; provide information utilizing judgment, knowledge, and interpretation; resolve complaints; and refer those making inquiries to appropriate source(s) as necessary.

Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Basic knowledge of courtroom procedures for all courts – criminal, juvenile, dependency, summary and miscellaneous to include Indirect Criminal Contempt, treatment courts (Mental Health, Veterans Court, DUI/Drug), etc.
- Accurately complete Clerk Minutes and form Orders of Court
- Maintain docketing and calendaring functions within the Common Pleas Case Management System (CPCMS)
- Change/add charges within CPCMS as directed
- Record case dispositions, court Orders in CPCMS
- Process bench warrants in re to defendant, witnesses and other participants failure to appear
- Process/data enter bail, offenses, dispositions and sentencing in CPCMS
- Correspond with judge’s secretary and law clerk
- Clock-in filings, prep for imaging, docket, route petitions/motions to judge with file and service copies of signed Orders of Court
- Service all orders to District Attorney, defense attorneys, GAL and agency attorneys, Adult/Juvenile Probation, Public Defender, etc. as ordered
- Attend courtroom hearings, prepare Clerk Minutes, docket cases from CPCMS calendar
- Swear-in jury members, witnesses, interpreters
- Obtain and be responsible for all evidence from trials (drugs, money, weapons, etc.)
- Ask jury verdict, when requested poll jury
- Prepare forms for court use
- Assist Judge, District Attorney, defense counsel and other parties in courtroom as needed
- Provide information to Megan’s Law Sexual Offender Assessment Board and Pennsylvania State Police
- Return from courtroom, timestamp Clerk Minutes and separate in re to YCP Records and non YCP Records for imaging
- Process expungement petitions, service and execute expungement orders
- Create various cases, to include Indirect Criminal Contempts, Extraditions, and Forfeitures.
Other reasonable duties as assigned by Supervisor.
