Temporary - Special Worker - Event Staff - Ocean Center

NOTE: This is a Temporary Position on an as needed basis contingent on the need for services This position will not exceed 30 hours a week. Selected candidates are at-will and will not be eligible for county benefits. 

All assignments are based on the Ocean Center’s event and specific event staffing requirements.

Event Supervisor- Event Supervisors report to the Operations Manager and are in radio contact with this person throughout the event. Event Supervisors are responsible for overseeing assigned staff.

Security Office Staff- Report to the Operations Manager on event days and are in radio contact with this person. Security Office staff are responsible for monitoring the building security cameras, receiving deliveries, managing lost and found items, and alerting Engineering of any alarm panel issues. Ensures that the building is secured at the end of the shift.

Dock Monitor- Dock Monitors are part of the Ocean Center Event Staff, reporting directly to the Operations Manager or Event Supervisor. They are responsible for monitoring and controlling either the Exhibit Hall Dock or the North Dock during an event and not allowing unauthorized entrance into the area.

Facility Monitor- Facility Monitors are part of the Ocean Center Event Staff, reporting directly to the Operations Manager or Event Supervisor. They are responsible for monitoring a specific set of doors or areas during an event.

Ticket Taker Supervisor- Ticket Taker Supervisors report directly to the Operations Manager or Event Supervisor. They are responsible for supervising the Ticket Takers and overseeing the smooth and rapid crowd flow into the building.

Ticket Taker- Ticket Takers report directly to the Operations Manager or Event Supervisor. They are responsible for smooth and rapid crowd flow into the building, while always ensuring accuracy of tickets.

Usher Supervisor- The Usher Supervisors report to the Operations Manager or Event Supervisor and are in radio contact with this person throughout the event. They are responsible for supervising the Ushers. They work at any paid ticketed events in which ushers are staffed.

Ushers- Ushers are part of the Ocean Center Event Staff and report directly to the Operations Manager or Event Supervisor. They are responsible for assisting patrons in expedient and safe manner immediately before, during, and immediately following events.

Setup Crews- Set up crews are a part of the Ocean Center Operations staff and report directly to the Operations Manager. They are responsible for setting up and breaking down tables, chairs, staging etc. for events and room flips.


(Note: These are intended only as illustrations of the various type of work performed. The omission of specific duties does not exclude them from the position.)

All assignments: 

  • Must be able to work flexible hours including nights, weekends, and holidays.
  • Must be able to stand for duration of assigned shift. 
  • Attends work on a regular and consistent basis.
  • Must adhere to Federal, State, County, and Local ordinances.
  • Performs other duties as assigned.

If assigned as EVENT SUPERVISOR: 

  • Works hand-in-hand with the Operations Manager to ensure smooth operation of events.
  • Holds pre-event briefing with staff to inform them of any special instructions for the event, assigning posts and duties, check staff members for proper uniform attire and informing them of any unique circumstances pertaining to a certain event.
  • Circulates throughout the building and coordinates breaks without disrupting ongoing operation of the event.
  • Secures entire building at conclusion of event.
  • Checks all doors in event area to ensure they are in proper position, and either locked/chained or unlocked/unchained, depending on need.
  • Keeps Operations Manager informed of all requests of the lessee and/or any problems that may occur during the Event Supervisor’s shift and completes incident reports for any incidents occurring during shift prior to leaving shift.
  • Informs the Operations Manager of any staffing issues and turns in any employee incident forms on staff for any disciplinary actions the Operations Manager may need to address.
  • Reports any issues, incidents or problems that may happen to the Operations Manager. 
  • Gathers information to complete Volusia County Risk Management incident reports.

If assigned as SECURITY OFFICE STAFF:

  • Monitors building security cameras, assists in emergencies.
  • Receives mail deliveries.
  • Logs and secures any lost and found items.
  • Alerts Engineering of any alarm panel issues.
  • Operates building lights.
  • Performs inside perimeter security check throughout the day.
  • Ensures that the building is locked and secure at the end of each shift.

If assigned as DOCK MONITOR: 

  • Remains at assigned position at all times until released by Operations Manager or Event Supervisor.
  • Controls ingress and egress to ensure a smooth load-in and load-out of events.
  • Secures restricted areas that are occupied before, during and after events. 
  • Maintains and updates parking list.
  • If assigned to be on the dock, they need to be on the dock and not in the security office or other inside area.


If assigned as FACILITY MONITOR: 

  • Remains at assigned positions at all times until released.
  • Monitors the crowd and advises the Operations Manager or Event Supervisor of special needs or problems as they arise.
  • Reports spills or other unsafe conditions to the Event Supervisor immediately. 
  • Cleans and/or picks up small spills or a few items on the floor. 
  • Reminds patrons, when applicable to the event, of the no re-entry policy on ticket stub and other rules and regulations as they apply.
  • Monitors the doors that they are responsible for and does not allow patrons without tickets to the applicable event into the facility.
  • Monitors attendees and informs guests prior to entry that there is no outside food/beverage(s) allowed in the building and ensures compliance of the specific event parameters. 

If assigned as TICKET TAKER SUPERVISOR: 

  • Supervises the front house staff, including ushers and ticket takers. 
  • Assists Ticket Takers to ensure that each patron attempting to enter the facility has a ticket for the event being held.  
  • Reports any staffing shortages to the Operations Manager or Event Supervisor. 
  • Should problems or inaccuracies occur, direct the patron to the Box Office for assistance or call the Operations Manager or Event Supervisor for assistance.
  • Informs the Operations Manager of any staffing issues and turn in any employee incident forms on staff for any disciplinary actions the Operations Manager may need to address. 
  • May assist ticket takers when needed. 

If assigned as TICKET TAKER: 

  • Ensures that each patron attempting to enter the facility has a ticket for the event being held.  
  • Should problems or inaccuracies occur, the patron should be directed to the Operations Manager or Event Supervisor for assistance.
  • Utilizes scanning equipment (handheld scanner) in scanning tickets. 

If assigned as USHER SUPERVISOR: 

  • Reports to work thirty (30) minutes prior to staff reporting to receive instructions from the Operations Manager regarding the event and to supervise the number of seats on the floor prior to doors opening.
  • Holds pre-event briefing with usher event staff to inform them of any special instructions for the event.
  • Assigns and supervises ushers in the areas of assignment.
  • Assists in providing a resolution of ticket/seating problems that may arise.
  • Roams the Arena on a continual basis checking with the ushers to determine if everything is running smoothly.
  • Coordinates break times for usher event staff.
  • Reports any staffing shortages to the Operations Manager or Event Supervisor. 
  • Informs the Operations Manager of any staffing issues and turns in any employee incident forms on staff for any disciplinary actions the Manager on Duty may need to address.

If assigned as USHER: 

  • Ensures the comfort of each guest and direct patrons to their assigned seats. Should problems arise with seating, Ushers will direct patrons to the Usher Supervisor for resolutions. Ushers will be expected to stand for long periods of time.
  • Provides special direction to patrons (e.g., locations of handicapped seating, procedures for lost and found articles, and location of restrooms.) 
  • Keeps railings, walls, aisles, stairs, and other areas free of congestion.
  • Monitors the crowd, being watchful for alcoholic beverages being brought into the building from the outside, ensuring no one is smoking in the seating area, cameras and recording equipment (when such are not allowed), and to remind patrons of Ocean Center rules and regulations as needed.
  • Contacts the Operations Manager or Event Supervisor, or event security as soon as possible in the event of an accident or incident.
  • Reports spills and/or other unsafe conditions to the Usher Supervisor or supervisory personnel for repair or cleanup.

If assigned as Setup Crews: 

  • Event setup & break down for events.
  • Provides top-tier customer service to Ocean Center clients and guests by responding to basic needs in a responsive and positive manner.
  • May load and unload heavy material from trucks and vans.
  • May move and aid in moving furniture, equipment and/or large and bulky objects.
 

Must be 18 years of age or above.

If assigned as Event Supervisor or Dock Monitor, experience as a Facility Monitor is required.

If assigned as Security Office Staff, experience as a Facility Monitor, Dock Monitor, or Event Supervisor is required.

NOTE: Selected candidates must pass a pre-employment background check. 

Must possess and maintain a valid driver's license at time of hire. 

Must possess a valid Florida driver's license within 30 days of hire and maintain thereafter. 

All assignments: 

  • Ability to maintain an alert and observant attitude, pleasant personality, polite and courteous behavior and is especially attentive to patron and staff needs. 
  • Ability to work under stressful conditions.
  • Ability to assists patrons with questions or understand as to where/who to refer them.
  • Ability to understand the Ocean Center rules and regulations (i.e., smoking areas, food and beverage policy, camera policy, media and other passes, no re-entry policy, etc.), and be able to relate those to patrons and enforce them as necessary, in a polite and courteous manner.
  • Familiarity with the building and location of important areas to assigned position.


If assigned as SUPERVISORS:

  • Ability to delegate duties, assign staff to positions, professionally respond to staff/patron questions or situations, and clearly communicate both verbally and in writing.


If assigned as TICKET TAKER SUPERVISOR and TICKET TAKER:

  • Knowledgeable and familiar with the ticketing procedures and the use of the scanning equipment (handheld scanner).


If assigned as SECURITY OFFICE STAFF:

  • Knowledge of the building, both inside common areas such as entrance points, meeting rooms, arena ballroom and exhibit hall access and outside areas such as all parking lots, loading docks and exit points. 
  • Knowledge of the building security cameras and alarm panels. 
  • Ability to communicate both verbally and in writing. 
  • Ability to assist in case of any emergency.


If assigned as USHERS:

  • May be necessary for ushers to escort patrons to their seats, therefore, must be able to walk up and down stairs as well as answer questions about the building.  
  • Friendly and courteous service is a must.   
  • Ability to sell hard tickets and rolled tickets (non-computerized).
  • Ability to use several different balancing methods based on the type of tickets sold.

If assigned as Setup Crews: 

  • Ability to read and utilize event work orders and floorplans to set up and breakdown events. 
  • Ability to perform venue set up for meetings, classroom training, theater, presentations or banquets. 
  • Ability to assist in installing event specific equipment such as basketball court and goals, dance floor, staging, risers etc. 



ADA REQUIRMENTS:
      

Physical Demands: Medium work. Ability to sit, stand, walk, climb, stoop, bend, kneel, crouch, crawl, reach, talk, see, and hear. Ability to work in low-light conditions. Exposure to noise, fumes, vibration. Ability to lift, carry, push and/or pull 10 pounds. Ability to stand and/or walk for long periods of time and for duration of assigned shift. May be necessary for ushers to escort patrons to their seats, therefore, must be able to walk up and down stairs and answering questions about the building. They are expected to lift/assist patrons (fall, trip, etc.).
 
Environmental Demands
Inside and outside work. Depending on assignment, may require outside duty and exposure to inclement weather.
 
Mental Demands: 
Ability to speak clearly and concisely relaying information, details, and procedures to layman.   Ability to read and comprehend operational and safety instructions, and signage.
