Job Description
The District Attorney's Office is seeking a professional, organized, and detail-oriented Administrative Assistant to provide administrative and clerical support to prosecutors, investigators, and office staff. The successful candidate will play a critical role in ensuring the efficient operation of the office by maintaining records, assisting with case management, handling confidential information, and serving as a point of contact for the public and criminal justice partners.
Essential Duties and Responsibilities
Provide administrative support to the District Attorney, Assistant District Attorneys, detectives, and support staff.
Prepare, proofread, and distribute correspondence, reports, legal documents, and other materials.
Maintain case files, records, and databases in accordance with office policies and applicable laws.
Schedule appointments, meetings, court appearances, and other events.
Answer and direct telephone calls, respond to inquiries, and greet visitors professionally.
Receive, process, and distribute incoming mail and electronic communications.
Coordinate with courts, law enforcement agencies, victim service providers, attorneys, and other stakeholders.
Assist with document retention, scanning, filing, and records management.
Enter and update information in case management and records systems.
Maintain confidentiality of sensitive criminal justice information.
Assist with purchasing, inventory, and office supply management.
Perform other administrative duties as assigned.
Required Qualifications
High school diploma or GED
Minimum of two (2) years of administrative, clerical, or office support experience.
Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and prioritize work effectively.
Ability to handle confidential and sensitive information with discretion.
Ability to work independently and as part of a team.
Preferred Qualifications
Experience in a legal, law enforcement, court, government, or criminal justice environment.
Familiarity with case management systems and records management practices.
Knowledge of Pennsylvania court procedures and criminal justice processes.
Experience working with confidential records and public records requests.
Knowledge, Skills, and Abilities
Strong customer service and interpersonal skills.
Ability to maintain accurate records and files.
Ability to learn office-specific software and procedures.
Strong proofreading and data-entry skills.
Ability to establish and maintain effective working relationships with coworkers, law enforcement personnel, court staff, attorneys, and members of the public.
Physical Requirements
- Ability to sit for extended periods.
- Ability to operate standard office equipment.
- Ability to occasionally lift and carry up to 25 pounds.
- Ability to move throughout office and courthouse facilities as needed.
