What are the responsibilities and job description for the Law Enforcement Clerk position at County of Santa Clara?

Under close supervision, and in a training capacity, learns to perform complex specialized technical law enforcement records functions in Records or Booking;
- OR -
 
Under general supervision, to independently perform a variety of routine general and technical clerical work requiring a limited knowledge and application of law enforcement codes, vocabulary, or procedures.

Important Note: This recruitment is scheduled to include a written examination; the test will be conducted online through a secure third party.  
Tentatively, during the week of OCTOBER 30th, 2025 (date subject to change) test information will be sent via email to the address attached to your application.  Prior to completing the exam, there is a brief system set-up step to be completed.
 


The current vacant position(s) are full and part-time with the Office of the Sheriff - Department of Correction, however, the eligible list will also be used to fill future vacant positions as they occur: Office of Sheriff, Probation, and/or Department of Family and Children's Services.
  • Compiles data for, summarizes, and maintains a variety of statistical logs, reports, records, lists, and files;
     
  • Researches computer and manual files, runs computer focus reports, and codes classifications for inmates;
     
  • Performs detailed clerical work matching numbers, verifying names and numbers, filing confidential documents, and reviewing, compiling and matching lists;
     
  • Edits indexes and types reports, memos, forms, legal, or other specialized documents using a typewriter or computer, and prepares and updates a variety of reports;
     
  • Processes and researches information on individuals to provides security clearances;
     
  • Performs general office duties such as collating, copying, filing, inventories and orders office supplies;
     
  • Processes security and background clearances, inmate releases, and infractions;
     
  • May operate and access- computerized criminal justice information systems and subsystems;
     
  • Enters, teletypes, modifies, and retrieves data into office, local, state, and national computers, such as stolen and recovered property, driver license and vehicle registration information, warrants on wanted persons, missing persons, criminal history checks, sentence calculations, and warrant updates;
     
  • Performs booking, release, subpoena, restraining order, fugitive, extradition, criminal and traffic citation infractions, felony and misdemeanor warrant, and other criminal record processes;
     
  • Places, clears, and processes warrants, indexes and updates automated information system files, compiles and maintains booking or warrant jackets, runs DMV teletypes;
     
  • Explains routine background, court, and jail procedures to defendants, the public, and other agencies;
     
  • Books, fingerprints, and photographs defendants or fingerprints license applicants;
     
  • Collects bail, fines, other fees, balances daily funds received;
     
  • May schedule appointments, court appearances, and inmate transportation, monitor for arraignment or release, notify other agencies of detainers or holds, and compute sentences and release dates;
     
  • Takes citizen complaints or inquiries and refers to appropriate individual or agency;
     
  • Conducts record searches in a centralized law enforcement data base to assist with criminal and other investigations;
     
  • Provides information and documents to law enforcement agencies, courts, and attorneys, in accordance with legal requirements governing release of information;
     
  • May distribute subpoenas for serving, or may track court case status and request and/or schedule continuances for officers; Researches background problems/issues with the Department of Justice for other law enforcement agencies and the public, and explains routine background procedures;
     
  • May maintain, update, and troubleshoot fingerprinting machines as necessary;
     
  • Communicates with Data Management regarding on-line problems;
     
  • May interview minors individually to update, and modify information and input criminal history into a centralized Law Enforcement data base tied to the Probation Department;
     
  • Performs other related duties.
Sufficient education, training and experience to demonstrate the possession and direct application of the following knowledge and abilities:

Experience Note: The knowledge and abilities required to perform this function are normally acquired through training and experience equivalent to the graduation from high school and one (1) year of work experience performing a variety of clerical duties.

Knowledge of:
  • Office practices and procedures, alpha numeric filing and retrieval systems, and operation of standard office machines, including a computer terminal;
     
  • Customer services principles, including the handling of irate and distressed people;
     
  • Computer applications such as word processing, spreadsheet and/or database;
     
  • General English usage including style/format, grammar, punctuation, and spelling;
     
  • Basic mathematics (for simple calculations);
     
  • Telephone procedures and etiquette;
     
  • Knowledge of the basic functions and activities of a law enforcement agency.
Ability to:
  • Operate a computer terminal and teletype keyboard to access automated criminal justice information systems to enter, modify, and retrieve data into local, state, and national computers;
     
  • Work in a locked detention facility or other law enforcement environment;
     
  • Develop a thorough working knowledge of Departmental operations, procedures, and regulations;
     
  • Understand, interpret, and apply departmental policies, procedures, rules, laws, regulations ordinances, functions, and processes pertaining to correctional facilities or law enforcement agencies;
     
  • Make decisions and perform a variety of clerical work involving independent judgement;
     
  • Learn to interpret legal and reporting codes and statutes applicable to management of law enforcement records;
     
  • Handle stressful situations with public and cope with variety of individuals who may be hostile, aggressive, irate, inebriated, uncooperative, and/or emotionally disturbed;
     
  • Perform detailed clerical work accurately;
     
  • Maintain effective working relationships with those contacted in the course of the work;
     
  • Use a keyboard with moderate speed and a high level of accuracy;
     
  • Remain standing for long periods of time (kneeling, standing, bending or lifting);
     
  • To work under time constraints.
Special Requirements
  • Ability to pass a background check and be bondable.
     
  • Willingness to work other than a normal Monday through Friday day shift.
**Departments may selectively recruit for typing speed up to 35 Net WPM depending on departmental need.
