**Key Responsibilities**
**Administrative and Clerical Support**
- Prepare, edit and proofread correspondence, reports, presentations and other documents.
- Maintain calendars, schedule meetings, and appointments
- Manage incoming calls, emails, mail, and inquiries; provide information or direct to appropriate staff.
- Assist with document filing, recordkeeping, and data entry in both digital and physical systems
Office Coordination**
- Maintain office supplies, equipment, and inventory; coordinate maintenance requests as needed
- Ensure office procedures and workflows remain organized and efficient
- Assist with project coordination, meeting preparation, agenda drafting and minute-taking.
- Prepare spreadsheets, and routine activity reports.
- Collect and process fees, donations, and registrations; issue receipts and maintain accurate financial logs.
- Assist in monitoring program budgets and purchasing process.
- Maintain accurate financial records and assist with audit preparation when required.
- Greet participants warmly and professionally; support a welcoming and inclusive environment
- Provide assistance and information regarding senior programs, transportation services, meal programs, and community resources.
- Respond to concerns and route issues to appropriate staff.
Required Qualifications**
- High school diploma or equivalent (Associate degree preferred).
- 2 - 4 years of administrative experience, or an equivalent combination of education/experience.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) or Google Workspace.
- Strong written and verbal communication skills.
- Ability to prioritize tasks, manage time effectively, and work independently
- Knowledge of office procedures, confidentiality rules, and record retention policies.
