What are the responsibilities and job description for the COURT INFORMATION SPECIALIST position at County of Greenville - PROBATE COURT?
Provides customer service to individuals visiting the Probate Court office; greets representatives or families of deceased individuals and provides information regarding probate subjects without giving legal advice; receives, reviews, verifies, and processes court forms, documents and correspondence; enters data and information into court management system; and research deeds, tax records, obituaries. Answers court telephone lines; answers telephones, screens and routes calls, and takes messages; maintains a thorough knowledge of the Probate COut and provides information to callers; determines which Probate process is necessary for customer's specific situation; advises callers on correct paperwork/forms for starting Probate process; and communicates types of documents to bring to Court. Verifies availability of brochures and forms; maintains calendar/docket for the day; informs the Court Administrator of safety or security issues; receives and distributes mail facsimiles; and stocks paper, brochures and probate forms. Performs the following duties when serving at the Reception Desk: ensures that Court and front desk are ready for opening each day; sets up electronic sign-in system for front desk traffic; verifies availability of brochures and forms; and opens court for business; checks telephone messages and return calls; informs managers when employees call in sick, late or have an emergency; reviews wills to ensure validity and originality; utilizes dual verification system at the front window, allowing both employees to review new intakes and ensure proper inclusion, completion and compliance of documents and/or other items to determine exact forms required; calculates and receives probate fees; maintains security of monies received; processes credit card payments. High school diploma or GED required, with vocational or technical training in a related field; supplemented by two years of experience in court operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess and maintain a valid South Carolina Driver's License. Must possess and maintain certification as a Notary Public.
