DEPARTMENT CLERK 3 (75HR) - DRUG & ALCOHOL
Salary Grade: 4 $17.71/hour
Shift Available: Full – Time (Non-Exempt)
Office Hours: 8:30 AM to 5 PM Monday through Friday (Actual work hours established by department to include unpaid lunch)
Budgeted Hours: 7.5 hours per day / 37.5 hours per week
- Completes data submissions (prevention, case management, level of care assessments, etc.) into the web-based data system(s) as required by the Department of Drug and Alcohol Programs, following the protocols and timelines established by the department. As additional grant awards are received, additional data submissions and additional web-based systems may be assigned to this department. These responsibilities will become functions of this position as well.
- Reviews paperwork submissions from out-patient treatment providers and data, enters information provided into the CPR-Web system, generating case notes and authorizations for case management staff/supervisors to clinically review and approve.
- Completes Medicaid exclusion checks on a monthly basis for all department staff and contracts treatment providers.
- Maintains correspondence and meeting minutes for the Drug and Alcohol Planning Council.
- Maintains meeting minutes for the Drug and Alcohol provider meetings.
- Types letters, reports, memos, minutes, and other documents required by the department staff.
- Maintains client files (both paper files and electronic records).
- Sorts, copies, and/or files correspondence and documents within the department.
- Processes required department documents, forms and/or reports as required.
- Operates computer or other office equipment as necessary.
- Assists with other clerical duties in absence of department clerical staff or on an as needs basis.
- Updates and maintains computer databases used within the department.
- Assists in administration of special department functions.
- Greets and assists general public upon arrival and connects them to staff for their designated appointment.
- Answers telephone calls and responds to general questions; directs other calls to proper individuals or to voicemail as appropriate.
- Assists with completing mental health liabilities on an as-needed basis.
- Scans closed client files and archives them electronically as permitted via regulation.
- Attends meetings or training sessions as required.
- Performs other job-related duties as required.
Minimum Training and Experience:
High school diploma or equivalent. Computer training in basic Microsoft Office programs such as Word and Excel. Completion of at least one (1) business course beyond high school level. Two to three (2-3) years' working experience in county government or social service field preferred.
