Office Manager – Home Care Agency
Position Summary
Countrywide Home Care is seeking an experienced, dependable, and organized Office Manager to oversee the daily operations of our home care office. The Office Manager will supervise office staff, support caregivers and participants, maintain accurate documentation, and ensure the office operates in compliance with company policies and Pennsylvania home care requirements.
The ideal candidate will have strong leadership, communication, customer-service, and problem-solving skills. Previous experience in a Pennsylvania home care agency is strongly preferred.
Key Responsibilities
- Oversee the office’s daily operations and workflow.
- Supervise, train, support, and evaluate administrative staff.
- Ensure telephone calls, emails, and employee and participant concerns are handled professionally and promptly.
- Coordinate caregiver staffing and help address call-outs and uncovered shifts.
- Monitor participant services, authorizations, schedules, and caregiver documentation.
- Ensure participant and employee files are complete, accurate, organized, and ready for compliance reviews.
- Assist with employee onboarding, orientations, annual recertifications, and required clearances.
- Monitor completion of home assessments, reassessments, follow-up visits, and other required documentation.
- Communicate with participants, caregivers, families, service coordinators, and other authorized parties.
- Address and escalate complaints, incidents, safety concerns, and service-related issues.
- Assist with internal audits, quality-assurance activities, and corrective-action plans.
- Protect confidential employee and participant information in accordance with HIPAA and agency policies.
- Provide management with regular updates regarding staffing, compliance, office needs, and operational concerns.
- Attend meetings and training sessions as required.
- Perform other duties assigned by senior management.
Required Qualifications
- High school diploma or GED.
- At least two years of office management, administrative leadership, or supervisory experience.
- Strong organizational, leadership, communication, and customer-service skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Office, email, electronic records, and general office systems.
- Ability to handle confidential and sensitive information professionally.
- Ability to work independently and make sound decisions.
- Reliable transportation and a valid driver’s license.
Preferred Qualifications
- Previous office management experience with a Pennsylvania home care agency.
- Knowledge of caregiver staffing, participant services, authorizations, employee files, and home care compliance.
- Experience supervising administrative, coordination, or human-resources staff.
- Bilingual English and Spanish skills.
