Countryside YMCA is looking for a Membership Service Coordinator to be the welcoming voice and steady hand connecting our members, staff, and leadership team. What You'll Do
- Serve as a warm, professional first point of contact — answering calls and resolving member questions, concerns, and registration issues
- Support members with online registration, program transfers, and cancellations
- Provide high-level administrative support to the CEO, including managing confidential correspondence and files with discretion and sound judgment
- Prepare and maintain minutes for Board of Directors meetings
- Manage office operations — ordering supplies, stationery, and overseeing copier/phone maintenance and service
- Enter and maintain program data in Daxko, partnering with Program Directors to ensure accuracy and consistency
- Step in to support the Front Desk, Welcome Center, and prospective member tours as needed
- Assist with fundraising initiatives and special events, including the Annual Campaign
- Oversee communication between the North Entry and desk/pool teams
- Interview, hire, schedule, and train North Entry and outdoor pool card-check staff; approve time cards and provide schedule coverage during emergencies
- Monitor departmental safety and risk items, reporting concerns to your supervisor and the Risk Manager
- Take on additional responsibilities as business needs arise
What You'll Bring
- High school diploma plus 2–3 years of administrative or supervisory experience
- Nonprofit experience is a plus
- Comfort working across platforms like Daxko, Google Workspace, and Paycom
- Strong technical aptitude and up-to-date computer skills
- A proactive, can-do attitude with genuine empathy for people from all walks of life
- Excellent follow-through, time management, and the ability to juggle competing priorities
- Outstanding phone and interpersonal communication skills
- Solid understanding of (or ability to learn and explain) YMCA policies and procedures
- Must pass a criminal background check
Physical Requirements: Primarily desk-based work involving prolonged sitting and computer use; ability to lift up to 15 lbs. Work environment noise levels range from moderate to lively depending on member activity.
