About Us

Counseling of Southwest Florida is a growing outpatient mental health practice dedicated to providing compassionate, high-quality behavioral health services to our community. We are looking for a friendly, organized, and customer-focused Client care coordinator to serve as the first point of contact for our clients while supporting the daily operations of our office.

Position Summary

The Client Care Coordinator plays a vital role in ensuring clients receive exceptional service from their very first phone call. This position is responsible for coordinating appointments, supporting clinicians, maintaining office operations, and providing outstanding customer service while helping clients access the care they need.

ResponsibilitiesClient Intake & Scheduling

  • Answer incoming phone calls and respond to website inquiries.
  • Conduct initial screenings for prospective clients.
  • Schedule assessments and ongoing counseling appointments.
  • Coordinate with clinical staff to determine appropriate outpatient services.
  • Manage provider schedules and appointment changes.
  • Follow up with clients regarding missed appointments.

Client Support

  • Provide compassionate assistance to clients during times of need.
  • Coordinate referrals and supportive services.
  • Communicate effectively with clinicians regarding client concerns.

Office Management

  • Maintain an organized, welcoming office environment.
  • Order office supplies as needed.
  • Assist with maintaining clinical records and administrative documentation.

Billing & Administrative Support

  • Collect client payments and process credit card transactions.
  • Follow up on outstanding balances.
  • Assist with program applications, renewals, and administrative paperwork.

Referral & Community Communication

  • Maintain communication with referral sources and community partners.
  • Coordinate referrals via phone, email, and fax.
  • Provide timely updates and required documentation to stakeholders.

Additional Duties

  • Assist with in-person drug and alcohol testing, including required documentation, payment collection, and specimen collection procedures.
  • Follow all Counseling of Southwest Florida policies and procedures.

Qualifications

  • Previous customer service experience required.
  • Office management or medical office scheduling experience preferred.
  • Mental health or healthcare experience is preferred but not required.

Pay: $20.00 - $23.00 per hour
