Outpatient Front Desk Scheduler
Job Summary: Perform all job duties of Front Desk Scheduler. Characteristics and competencies consistent with this agency’s code of ethics and commitment to the vision and mission statement are required for this position.
Specific Responsibilities:
· Answer all incoming calls for the Outpatient clinic. Assist client and/or forward to appropriate personnel or department.
· Schedule appointments for on-site clients as well as telehealth for off-site.
· Welcome/check-in on site clients and visitors. Notify appropriate clinician of appointment check-in.
· Ensure all visitors to clinic have signed in and have a name tag.
· Monitor lobby area on a regular basis to ensure all clients have been greeted and checked in.
· Verify client information upon arrival (address, phone number, email, and insurance information) and check chart for any notes, co-pays due, or warning notes.
· Review all scheduled appointments 2 days prior to the appointment to check for any notes, co-pays, status alerts, etc. Make any necessary corrections or actions needed before the appointment.
· Check automated system for confirmations and cancellations daily.
· Cancel appointments as needed and follow appropriate instructions in Credible.
· Monitor cancellations on therapist schedules and waitlisted clients.
· Collect co-payments prior to appointments at check-in. All co-pays and payments are due at the time of service. For those with a co-pay due and are telehealth clients that will not be coming onsite, contact them 1-2 days prior to the appointment to collect the copay by phone.
· Send appointment links to clients for video telehealth appointments.
· Send appointment links to Saline County Jail for telehealth psychiatry appointments.
· When scheduling appointments, verify that the client is assigned to the correct prescriber, therapist, and outpatient team.
· When scheduling appointments, make sure the client is not scheduled with any other provider on the same day.
· Verify client has a current consent to treat on file at check-in. Obtain signature on consent form if needed.
· Answer incoming crisis calls and follow crisis call procedures as directed by the Crisis Director and OPS Director.
· Run daily ledgers of payments collected and maintain a cash drawer which should be secured in the appropriate location at the end of the day.
