What are the responsibilities and job description for the Administrative Assistant position at Council on Domestic Abuse, Inc. (CODA)?
DEFINITION
Under the general direction of the Executive Director, this non-exempt part-time position is responsible for providing administrative support to ensure efficient operation of the CODA admin offices.
EXAMPLES OF WORK
- Answers phone calls and schedules meetings
- Checks mail, organizes bills and paperwork
- Tracks grant claims and grant reporting
- Orders office supplies and maintains supply inventory
- Carries out administrative duties such as filing, typing, copying, faxing and scanning
- Exhibits police and professional communication via phone, email and mail
- Calls for repairs to CODA buildings
- Organizes and tracks donations
REQUIREMENTS
Education
- A high school diploma or equivalent
Experience
- One (1) year of related experience
- Two (2) years of college may be substituted for the required one (1) year of experience.
Knowledge and Abilities
- Basic knowledge of office management and practice.
- Ability to act quickly in an emergency.
- Ability to work with volunteers.
- Experience working with multi-function printers including the ability to scan documents and send them as an email attachment, configure copy settings and perform light maintenance tasks such as replacing toner cartridges.
- Ability to follow policy and procedures of the agency.
- Experience with Microsoft Office Suite.
- Ability to acquire a thorough knowledge of the dynamics of domestic violence and its effects on the parties involved, including families and the overall community.
- Ability to network with community groups and individuals.
- Ability to utilize available personnel, funds, equipment and space in an effective manner.
- Ability to read, write, speak, understand and communicate in English sufficiently to perform the duties of this position. American Sign Language or Braille may also be considered acceptable forms of communication.
