Job Summary: Responsible for the basic clerical tasks such as answering phones, greeting patients and visitors, and scheduling appointments in a professional and timely manner. May also include other administrative or clerical duties.
Job Duties and Responsibilities:
1. Greet and check in patients in a timely and professional manner.
2. Notify, collect, post and present receipt for any copay or outstanding balance due by the patient at time of visit or when anytime payment is presented at the front window.
3. Verify and update all demographic information given by the patient including missing insurance and ID card copies.
4. Update status on schedule in eClinicalWorks.
5. Answer all calls in a timely and professional manner.
6. Return patients messages within one business day.
7. Forward calls to the appropriate MA or provider.
8. Schedule both new and existing patient appointments.
9. Mail/distribute new patient packets to perspective patients in a timely manner.
10. Enter all new patient information accurately from the packet into the patient’s account in eClinicalWorks at least 48 hours prior to new appointment.
11. Fax ROIs within twenty-four (24) hours of new patient appointment.
12. Verify appointments for the next day by phone.
13. Ensure phones are off answering service at 9:00 am and on service to 5:00 pm daily.
14. Check/distribute mail to medical staff.
15. Telephone encounters from answering service.
16. Check refrigerator temperature every morning and logs.
17. Other duties as assigned.
Job Specifications:
Education/Experience:
1. High School diploma or equivalent.
2. Experience (two-year minimum) in physician’s office or hospital setting.
3. Excellent communication skills.
4. Excellentcomputer skills.
Technical Skills:
1. Ability to communicate effectively with patients and visitors as well as clinic staff.
2. Ability to perform clinical duties.
3. Ability to perform data entry proficiently.
4. Ability to understand basic medical insurance coverage.
5. Ability to perform advanced electronic medical data entry.
6. Ability to bill insurance providers and/or Medicare/Medicaid.
Non-Technical Skills:
1. COMMUNICATION – Distinct speech; clear expression of thoughts; excellent grammar and composition skills; ability to establish and maintain effective working relationships with administrative/other employees, volunteers and the public; tactful, courteous and respects confidentiality of co-workers and agency.
2. PROBLEM SOLVING – Anticipates and identifies problems, evaluates alternative solutions and makes timely, sound decisions. Acts within proper scope of authority and seeks supervision appropriately.
3. Ability to set priorities and meet deadlines.
4. Ability to respond to change positively and competently.
5. Valid Florida license and reliable transportation with acceptable insurance.
6. Successful completion of a level 2 background and drug screening.
