This position is responsible for supporting the staff and activities of the Marketing division of Cotton Incorporated. Core Functions:
• Facilitate efficient operations through skilled administrative talents
• Coordinate travel arrangements for division staff and serve as a liaison between the division and travel agency
• Track and process mail, expenditures, invoices, and accounting information as needed and directed
• Coordinate resources and assist with implementation of internal and external events
• Coordinate shipping of items for tradeshows in the U.S. and internationally
• Plan and coordinate meetings both internally and externally in support of staff or visitor needs
• Assist with maintaining multiple budgets as related to travel and other department / program expenditures
• Perform budget management and forecasting analysis for Cotton Incorporated-managed CCI budget
• Act as a liaison to corporate office for Office Manager in Mexico and, when needed, by all other international administrative staff
• Maintain departmental calendars and track staff schedules
• Maintain accurate filing system for reports, correspondence, etc.
• Review, format, and proofread departmental reports and communications
• Perform organizational duties
• Respond to and/or direct external inquiries as appropriate
• Perform special projects as assigned
Job Requirements:
• Associate’s degree or other advanced education preferred, or equivalent work experience
• 7 years of related work experience in a senior administrative capacity
• Experience with addressing various audiences and interacting with multiple levels of people in person or over the phone Experience managing research project budgets and activities, preferably in the cotton textile industry
• Experience in cotton fiber classing or testing, a plus
• Motivated self-starter with the ability to work independently and within a team to meet deadlines and accomplish goals
• Ability to effectively prioritize and perform tasks based on importance and urgency
• Ability to coordinate and conduct multiple projects simultaneously
• Strong interpersonal skills and professional enthusiasm, with a customer service focus
• Strong organizational skills with strict attention to detail
• Strong communication and writing/proofreading skills
• Ability to work with and protect confidential information
• Proficiency in Microsoft™ Office Suite, in particular Word, Excel, and Outlook
• Creative Suite Experience, a plus
• This position requires domestic and international travel 0-5% of the time
Working Conditions / Physical Demands:
• General office environment with quiet to moderate noise level
• Varied working conditions off-site due to travel
• Business casual dress clothes required
• Regularly required to use hands to type and grasp, with frequent bending/twisting at the neck/waist
• Occasionally required to push, pull, and reach above/below shoulder level
• Frequently required to lift and/or carry up to 20 pounds
• Frequently required to have face-to-face and telephone interaction with internal staff and external contacts
• Specific vision requirements include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus
