We are looking for a compassionate, positive professional to fill the role of Medical Receptionist. The successful candidates will have experience working in a busy medical office environment and have strong communication skills. Applicants should have a willingness to learn, be self-motivated and enjoy interacting with patients.
Our Medical Office/Spa Receptionist:
- Responsible for the entire scheduling and reception function at our Medical Spa, with constant attention to detail to ensure our guests have a pampered, relaxing and memorable experience. We use Dr. Chrono.
- Properly open and close the Spa each day according to operating procedures.
- Accurately book, change and confirm Spa appointments.
- Provide guests with detailed descriptions of treatments, packages and products offered by our Spa.
- Maintain the Spa register through proper open, guest check-out and close procedures.
- Provide accurate, appropriate and immediate responses to all requests by guests, ensuring complete guest satisfaction.
- Maintain a clean and well-organized work area. Maintain skincare product inventory and ordering.
- Learn and be able to suggest medical grade lines offered such as Obagi, Skin Better Science and Skin Ceuticals.
- Provide social media and marketing support, posting ads, pictures and videos to social media and coordinating advertising with vendors.
- Interface professionally and promptly with our medical doctor, estheticians, laser technicians and other medical spa staff and vendors.
- Maintain patient files in strict conformance with HIPAA regulations.
Skills Required for the Position:
- Exceptional interpersonal skills – must enjoy working with people in a team environment and possess a friendly and outgoing personality.
- Excellent writing and phone skills.
- Ability to multi-task in a fast-paced environment.
- Ability to work independently and complete tasks promptly without direct supervision.
- Computer skills, including email, spreadsheet and point-of-sale applications.
- Medical Spa, Spa or Medical Office Concierge experience preferred.
