Summary

Under the supervision of the Associate Dean of Assessment, this position is responsible for organizing, overseeing and developing accreditation documentation, visits and reports required by regional and national accreditation agencies. This position is also responsible for collaborating with and assisting WVSOM colleagues on all matters related to accreditation and Continuous Quality Improvement (CQI). This individual assists the Associate Dean of Assessment with related duties, as assigned.

General Duties And Responsibilities

  • Provides leadership and strategic oversight for institutional accreditation activities, including participation in national accreditation workshops and collaboration with leadership to address identified risks, gaps, and compliance concerns.
  • Leads the development and delivery of accreditation-related training and education for faculty, staff, and administrative leadership to ensure institutional readiness and ongoing compliance.
  • Directs and manages regional (Higher Learning Commission) and programmatic (American Osteopathic Association’s Commission on Osteopathic College Accreditation) accreditation processes, including:
    • Maintaining and monitoring comprehensive accreditation calendars, timelines, and tracking systems to ensure timely completion of all requirements
    • Leading the development, coordination, and finalization of accreditation reports and submissions
    • Monitoring changes in accreditation standards and informing stakeholders on institutional implications and required actions
    • Overseeing centralized accreditation documentation systems to ensure accuracy, accessibility, and accreditation readiness
  • Working in collaboration with administrators, faculty, and appropriate staff, completes accreditation reports.
    • Staffs committees related to accreditation documentation, visits and reports.
    • Reads standard requirements and ensures that the supporting evidence meets the requirements.
    • Prepares supplemental documentation.
    • Ensures that reports are completed on time and with excellent quality (ensuring professional formatting in Word, PDF, Excel, and so on).
    • Maintains the institutional calendar of accreditation deadlines.
  • Leads institutional preparation for accreditation site visits, overseeing planning, coordination, and execution. Manages all operational aspects, including travel logistics, on-campus programming, and event delivery. Coordinates cross-functional engagement by preparing faculty, staff, and volunteers to support visit activities. Serves as the primary liaison to accreditation teams, responding to requests and ensuring clear communication before, during, and after visits.
  • Supports Continuous Quality Improvement (CQI) processes at the institutional and/or departmental level, as assigned.
    • Maintains CQI documentation and tracks reports, outcomes, and follow-up actions.
    • Provides support to institutional and/or departmental CQI committees, workgroups, or review processes.
    • Assists in monitoring and advancing CQI plans and initiatives.
    • Collaborates with WVSOM colleagues on CQI-related activities and projects.
  • Collaborate with the Associate Dean of Assessment and the Faculty Development office to design, plan, and implement faculty and staff training on accreditation and quality improvement.
  • Facilitates, develops, and institutes innovative programs and methods to aid outcomes analysis and quality improvement
  • Provides support to the mapping and expression of institutional competencies and outcomes.
  • Reports to and works closely with the Associate Dean of Assessment and other appropriate leaders to facilitate strategic changes to enhance and improve institutional outcomes based on data and analysis.
  • Researches and writes other reports needed by the institution (e.g. AACOM Annual Report, COCA Annual Supplemental Report, COCA Mid-cycle Report, etc.), or otherwise assists the Associate Dean of Assessment with strategic planning or other projects.
  • Other related duties, as assigned.
Education And Experience

Requires master’s degree with a minimum of five years’ experience in higher education accreditation; a doctorate is strongly preferred. An equivalent combination of relevant and recent experience and training which provides the required knowledge, skills and abilities may be considered. COCA and/or HLC experience preferred.

Project management skills required. Excellent interpersonal skills required for communication with all aspects of the campus community and with external agencies. Demonstrated ability to write, edit, and format professional documents; meet deadlines; manage multiple, complex priorities; and work both independently and as part of a team. Must be detailed oriented. Must have mastered or be willing and able to master Microsoft Word and Adobe Acrobat (creation of long, multi-section documents with hyperlinks), SharePoint, Outlook, and Excel.

Required Licenses/Certifications

This position requires the candidate to have a valid and current driver’s license, as regular travel including overnight travel is required.

Position

This is a full-time, non-classified position; it is exempt from FLSA regulations concerning overtime; salary is commensurate with education and experience, plus a full state benefits package. This position will be eligible for moving expenses.

Not all activities of this position occur within the confines of an 8:00-4:30 schedule and may require evening and weekend scheduling, as needed. The weekly schedule for this position will be established between the supervisor and the employee and approved given the needs of the department and the institution.

This position has been designated as Essential. This means that when WVSOM is faced with an institutional emergency, employees in such positions may be required to remain at their work location or to report to work to protect, recover and continue operations at WVSOM.
