Office Manager
Job Summary:
The Office Manager will assist in ensuring that the company receives payment for goods and services offered to clients. As manager, you are also responsible for all store and office reports, bank deposits, and employee scheduling, in addition to making sales of gasoline or propane to customers with a friendly and professional attitude. Our employees are required to acquire their propane dispensing license after hire. We will provide the materials needed and the on-hand training required to obtain the LP9 license offered by the state. You are responsible for ensuring the cleanliness of the store and premises at all times, all while preventing theft and other dangerous situations within the store.
Duties/Responsibilities:
- Prepares, verifies, and records daily sales whether it be cash, credit, or in-house charge.
- Prepares, verifies, and records customer payments and transactions related to accounts receivable.
- Creates invoices according to company practices; submits invoices to customers.
- Oversee station employees and cover shifts when needed.
- Balance the cash register at the end of each shift, ensuring that any discrepancies are managed in an immediate fashion.
- Prepare bank deposits and deposit money into the bank daily.
- Ensure clerks properly manage cash drawer limits while dropping cash in safe as needed to ensure safety.
- Oversee and maintain product inventory, ensuring that any low stock items are ordered from suppliers.
- Handle stocking and pricing activities, by remaining within the parameters of company protocol.
- Maintain food requirements and acquire a food handlers license where applicable.
- Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
- Makes phone calls for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
- Creates reports regarding the current status of customer accounts as requested.
- Assists the corporate office staff in researching customer discrepancies and past-due amounts.
- Copies, files, and retrieves materials for accounts receivable as needed.
- Relays changes of information to appropriate employees.
- Performs other related duties as assigned.
- Duties can change at anytime and are not limited to those listed above.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
- Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
- Ability to work independently and in a fast-paced environment with little direction.
- Ability to anticipate work needs and interact professionally with customers and office personnel.
- Excellent organizational skills and attention to detail.
- Valid drivers license and good driving record
- Ability to obtain an LP9 propane license (we train)
- Self-motivated with the ability to follow directions
- Ability to operate cash register and work with numbers
- Ability to pay attention to detail and think outside the box
Education and Experience:
- High school diploma or equivalent preferred
- At least one years of office related experience required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 or more pounds occasionally.
- Some turning, twisting, pushing, and pulling may be required.
Pay: $15.00 - $18.00 per hour
