Qualifications
Education and Experience: Education equivalent to graduation from a standard high school.
OR
Qualifying full-time secretarial or office clerical experience may be substituted for the required education on a year for year basis.
Necessary Special Qualifications: Positions within the Division of Rehabilitation Services of the Department of Human Services will be required to:
- Complete a criminal history disclosure form in a manner approved by the appointing authority.
- Agree to release all records involving their criminal history to the appointing authority.
- Supply a fingerprint sample prescribed by the TBI based criminal history records check.
- Submit to a review of their status on the Department of Health's vulnerable persons registry.
Overview
Under general supervision, this role provides essential typing, clerical, and administrative support of moderate complexity. As an entry-level position within the Secretary job series, it offers an excellent opportunity to build strong administrative and organizational skills while supporting daily office operations. Unlike the Administrative Secretary role, this position focuses on foundational secretarial tasks rather than advanced, high'impact administrative responsibilities.
Responsibilities
- Prepare a wide range of professional documents, including correspondence, memoranda, abstracts, spreadsheets, and reports.
- Review and edit materials for accuracy, clarity, spelling, and grammar, offering suggestions for improvement when appropriate.
- Provide courteous and helpful assistance to customers via phone, email, and in-person interactions, guiding them through policies, procedures, and agency information.
- Gather and organize information from files, online resources, and databases to support meetings, interviews, presentations, and general administrative needs.
- Perform routine administrative functions such as document creation, record filing, inventory monitoring, calendar management, and distributing internal/external communications.
- Inspect and monitor office equipment to ensure proper functioning and report issues as needed.
