Executive AssistantSupporting the Owners of Corporate Travel Service in a broad array of clerical and organizational tasksSummary:The Executive Assistant is a full-time role that supports the Owners of Corporate Travel Service in a broad array of clerical and organizational tasks. The responsibilities of the role encompass internal and vendor-facing communications, document preparation, management of Owners’ office calendars and voicemails, filing of sensitive and proprietary documents, courier service to local destinations, and general recordkeeping tasks. ONGOING RESPONSIBILITIES:Daily clearing and reporting of Owners' voicemailsAssisting in the scheduling of appointments on the Owners’ calendarsTyping and compiling various documents in Microsoft Word, Excel or PowerpointPlanning and preparing for hosted meetings and social functions both within the company offices and at local restaurant venuesDriving to local destinations to make deliveries or purchases on behalf of the OwnersMaintaining strict confidentiality and safeguarding the storage of sensitive company documentsSupportingthe general office management functions, including utility contracts, supply room inventory, kitchen supplies, Copy equipment maintenance, postage machine maintenanceOpening and distributing daily incoming mail and posting and mailing outgoing checksCreating travel itineraries for owners and special clientsAssisting in the printing and mailing of brochures to clientsOrdering and sending gifts, flowers, and mass cards for clientsMaintain membership, event attendance, and invitation logs for affiliated organizationsOccasional visits to bank to post deposits for affiliated organizationsRenew affiliated organization memberships for ownersAssorted other unique tasks as assigned by OwnersREQUISITE SKILLS AND QUALIFICATIONS:Associates degree in related fieldProficiency with Microsoft Word and Microsoft PowerpointTyping skillsDisciplined accuracy and attention to detailFlawless punctuality and timelinessAbility to communicate professionally and articulately in both spoken and written discourseComfort with learning new software applications Microsoft TeamsAbility to manage multiple projects simultaneously of varying complexity while protecting quality of workAbility to build positive relationships and partnerships within the department, across the organization and with external vendorsAbility to balance a checkbookWillingness to support endeavors outside of business hours when necessaryCOMPENSATION AND BENEFITSCompetitive salary compensationEligibility for annual profit share bonusContributory health insurance plan401(k) plan with annual discretionary contribution made by the CompanyCompany paid long-term disability plansEligibility for annual IATA membership If you are interested and possess the right qualifications, please send your resume to David DiFranco at ddifranco@ctscentral.net.
