Job Summary
We are seeking an experienced executive assistant to provide top-level administrative support to senior management. This includes document preparation, record keeping and communication handling. The ideal candidate has strong communication skills, maintains confidentiality and demonstrates exceptional attention to detail. Hours are 7:00 am to 3:30 pm.
Key Responsibilities
- Professional writing capabilities, including emails, memos, letters and other industry-related reports, documents and correspondence
- Excellent computer typing skills, including basic troubleshooting skills
- Proficiency in working with spreadsheets, drafting and sharing documents and creating engaging and informative presentations
- Understanding of the real estate industry or executive office they work in
- Excellent time management and organization skills, especially the ability to prioritize and multitask
Listing Coordination & Management
- Ensure listing agreements are accurate, executed, and properly filed.
- Maintain and update the master listings spreadsheet.
- Archive files for sold, leased, or expired listings.
Reporting & Database Management
- Verify and format transaction data for monthly and quarterly reports.
- Input data into InDesign templates for mailers and reports.
- Proofread all reports for accuracy and consistency.
- Maintain and update contact databases with current information.
Qualifications
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- 3-5 years experience as an Executive Secretary or similar supporting senior executive
- Highly proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Excellent written and verbal communication skills.
- Good time management with the ability to multitask and prioritize tasks in a fast-paced environment.
- Attention to detail and accuracy in handling tasks and documents.
- High level of professionalism, integrity, and discretion in handling sensitive information.
- Excellent interpersonal skills for interacting with stakeholders at all levels.
- Strong problem-solving and critical thinking skills with the ability to work independently.
- Ability to anticipate the needs of the executive team and take initiative.
Preferred skills and qualifications
- Certification in office administration, executive assistance, or secretarial studies.
- Advanced knowledge of document management and record-keeping systems.
- Strong understanding of corporate confidentiality and regulatory compliance.
