Position Overview
We are seeking an experienced and meticulous Payroll Specialist to join our growing team. This role is part of the HR and Payroll Services division and provides end-to-end payroll support for a diverse client base. The ideal candidate brings a strong background in payroll processing and multi-state compliance. Expertise in payroll management and a variety of Payroll systems is essential to streamline processes, improve accuracy, and enhance overall payroll efficiency. Key Responsibilities
Payroll Processing & Administration
- Process weekly, bi-weekly, and semi-monthly payrolls in accordance with established schedules and internal workflows
- Review and validate timesheets, run audit/change reports, and execute payroll cycles accurately
- Maintain and update employee payroll records, including new hires, terminations, compensation changes, and benefits elections
- Administer payroll-related transactions such as bonuses, deductions, garnishments, benefits, and special payments
- Complete all post-payroll activities for each assigned client account
Payroll Tax & Compliance
- Manage payroll tax registrations and filings across applicable jurisdictions
- Monitor compliance with federal, state, and local payroll regulations, resolving discrepancies promptly
- Collaborate with internal teams to address compliance and tax updates, corrections, and reporting requirements
Reporting & Reconciliation
- Generate workers’ compensation and payroll-related reports for internal stakeholders and clients
- Maintain organized and auditable payroll documentation
Cross-Functional Collaboration
- Partner with HR to ensure accurate employee data and alignment on employee lifecycle changes
- Work with Finance to support reporting and financial integrity of payroll data
- Perform additional duties as assigned in support of team and client needs
Qualifications & Experience
- HS Diploma/GED, BS in Accounting preferred and a minimum of 3 years (current) payroll processing experience, preferably in a multi-state and/or outsourced services environment
- Strong knowledge of payroll compliance, tax regulations, and reporting requirements
- Experience with payroll systems such as Paycom, ADP Workforce Now, and/or ADP Client Connect preferred
- Advanced proficiency in Microsoft Excel and working with financial and HR systems
- Exceptional diligence with a high level of accuracy and accountability
- Strong organizational, time management, and communication skills
- Ability to manage confidential employee and financial information with discretion and integrity
- Initiative-taking analytical person with a continuous learning mindset
Compensation & Benefits
- Salary Range: $70,000 – $90,000 (commensurate with experience, certifications, and technical expertise)
