Reporting to the Finance Manager, the Accounting Clerk will assist the Accounting department to perform a variety of administrative tasks in support of the Poway office.
A successful contributor in this role will exhibit a willingness to partner with all departments on best practices to ensure customer happiness.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Duties:
1. Process and finalize daily credit card batches including charges/ refunds.
2. Receive and secure daily lock box deposits, checks, other forms.
3. Perform cash posting to customers account, general ledger.
4. Perform intercompany cash postings.
5. Manage customer credit card profiles in Great Plains.
6. Identify over/short payments and make necessary corrections.
7. Provide customer assistance regarding payments inquires.
8. Assist customers with credit card payments via calls received from credit card phone line.
9. Inquire/follow up with bank regarding unidentified payments.
10. Secure and file cash application source documentations.
11. Maintain customer agreements electronic files, filings.
12. Order and manage office supplies.
13. Organize department and/or company meeting lunches.
14. Perform mailing tasks including: postage, mailings, certified mail, internal mails.
15. Provide daily back up for front desk.
16. Participate in process improvement projects as required.
17. Communicate with co-workers, management, clients, suppliers, and others in a courteous and professional manner.
18. Conform with and abide by all regulations, policies, work procedures, and instructions.
19. Conform to all safety rules and use all appropriate safety equipment.
20. Conduct errands for business needs, such as picking up food for employee or customer meetings/events from retail providers and daily trips to mail carriers, such as USPS/FedEx,
21. Prepare conference meeting room for lunches and events, which may include food ordering, preparation of room and clean up afterwards.
22. Publish annual green initiatives report.

EDUCATION and/or EXPERIENCE:
Required:
1. One year experience in an administrative office environment.
2. Proficient in MS Office, including Word and Excel.
3. Proficient in Data Entry skills.
4. Valid California driver’s license and driving record that meets the company’s insurance carrier requirements.
Preferred:
1. AA degree in Accounting (or equivalent experience and training required, or equivalent of education and experience).
TRAVEL:
Reliable transportation and the ability to make trips to support office needs i.e. post office, Staples, Costco, and other local places as needed.
PHYSICAL DEMANDS:

WORK ENVIRONMENT:

POSITION TYPE/EXPECTED HOURS OF WORK:
1. This is a full-time, non-exempt, regular position.
2. Employees might be required to work late evenings or weekends depending on the business needs.
3. All Overtime must be approved by manager before working.
4. Because of sales and accounting interactions, the work needs to be conducted in the office location of 12375 Kerran Street, Poway, Ca 92064.
