Under the direction of the Preschool Supervisor, the Childcare Receptionist serves as a bilingual liaison between the front-end staff, program administration, and clients and is responsible for managing administrative tasks, coordinating with stakeholders, and ensuring compliance with New Jersey state licensing regulations and .
Duties and Responsibilities
o Serve as the primary point of contact for staff, parents, and external partners.
o Ensure compliance with state licensing regulations and maintain safety standards.
o Ensure that school age students are safely escorted to and from the school bus each morning and afternoon.
o Maintain bus lists.
o Contribute to safety initiatives by adhering to applicable policies and protocols.
o Secure the front door and grant entry to authorized individuals.
o Enforce compliance of ID badge policy and procedure for all staff and visitors; ensure screening sheets are completed and filed daily.
o Assist with transporting children to their classrooms safely as needed.
o Assist with maintaining ratios during short breaks as needed.
o Monitor front-end compliance with state safety guidelines
o Ensure compliance with New Jersey state licensing regulations and standards.
o Assist in maintaining a safe and clean environment, including coordinating monthly safety drills with Operations Manager
o Foster and maintain an open, professional, and consistent flow of communication throughout the center.
o Greet and direct visitors appropriately.
o Answer, screen, and direct calls on a multi-line phone system in a courteous and professional manner.
o Take messages and forward telephone calls appropriately.
o Assist clients and staff with translation and completion of paperwork.
o Ensure that clients and staff information are handled with confidentiality
o Coordinate with childcare supervisors, and executive team to ensure smooth daily operations and address any administrative needs.
o Occasionally provide basic information to clients via Brightwheel.
o Manage front desk operations, including greeting visitors, answering phones, and handling inquiries.
o Help organize and maintain inventory of supplies and materials.
o Monitor the visitor log, update staff sign in/out, and classroom trip log out.
o Provide parent sick child notifications as instructed by the supervisor or family liaison.
o Assist in the collection of signatures for required documents as needed.
o Provide families with program information as instructed by the supervisor.
o Demonstrate a high level of professionalism in dealing with confidential and sensitive issues.
o Establish and maintain effective working relationships with management, clients, and other staff members.
o Be punctual and adhere to the assigned work schedule.
o Assist with short classroom breaks to maintain ratios as needed.
o Participate in program training meetings.
o Assume and perform any other additional assignments as directed by the supervisor to ensure the effective servicing of the clients in our care.
Qualifications
- High school diploma or equivalent required
- Associate or bachelor’s degree desired
- One to three years related experience.
- Excellent verbal and written communication skills
- Proficient in Microsoft Office
- Strong interpersonal skills
- Ability to understand and follow written and verbal instructions.
- Must be Bi-lingual (English/Spanish).
