Duties
- Assist with property leasing processes, including showing units, processing applications, and coordinating move-ins and move-outs to ensure seamless transitions for residents.
- Manage tenant communications via phone, email, and in person, providing outstanding customer service and resolving inquiries promptly.
- Support lease administration by preparing contracts, amendments, and legal documentation while ensuring compliance with Fair Housing regulations and landlord-tenant laws.
- Maintain accurate data entry in property management software such as Yardi or OneSite; update resident records, rent payments, and maintenance requests efficiently.
- Coordinate property maintenance activities by scheduling repairs, conducting inspections, and liaising with vendors to uphold property standards.
- Assist with rent collection efforts, including processing payments through various channels and following up on delinquencies with tactful negotiation skills.
- Support compliance efforts related to LIHTC (Low-Income Housing Tax Credit), Section 8 housing programs, and other affordable housing initiatives.
- Manage filing systems for legal documents, contracts, inspection reports, and maintenance logs to ensure organized recordkeeping.
- Handle conflict management situations professionally by mediating tenant concerns or disputes while maintaining positive relationships.
- Contribute to facilities management tasks such as CMMS (Computerized Maintenance Management System) updates and basic office administration duties like data entry and filing.
- Must have own vehicle and willing to drive to multiple property locations.
Experience
- Proven administrative experience within property management or real estate environments is highly preferred.
- Familiarity with property management software such as Yardi or OneSite enhances efficiency in daily operations.
- Knowledge of LIHTC programs, Section 8 regulations, Fair Housing laws, landlord-tenant law, and legal administrative procedures is essential for compliance and effective support.
- Prior experience in customer service roles demonstrates strong communication skills and the ability to handle diverse resident interactions positively.
- Experience in property leasing, sales techniques including upselling amenities or services, conflict resolution, negotiation of contracts, and facilities management will set candidates apart.
- Office experience involving data entry, filing systems, phone etiquette, and general administrative tasks is crucial for success in this role.
