Overview
The Office Administrator is responsible for various administrative duties surrounding a project. These duties may include documentation, meeting management, handling the project budget, and using attention to detail skills to help track all project details.
General Duties and Responsibilities
- Document each phase of the project properly (change orders, pay applications, estimation, purchase orders).
- Provide billing support.
- Verify invoices.
- Track inventory and equipment to ensure that the project meets budget requirements.
- Manage subcontractor and supplier relationships.
- Reconcile fuel charges.
- Track employee time on projects and input in QuickBooks.
- Process change orders.
- Assist with project takeoffs.
- Oversee Certified Payroll completion as needed.
- Issue subcontract agreements and supporting documentation as required.
- Keep job folders organized.
- Track tickets for job materials (rock tickets, asphalt tickets, etc.).
- Track driving time for jobs.
- Facilitate project set up QuickBooks, and in digital and physical files.
- Monitor and update project WIPs.
Requirements
- Proven experience as an office administrator, office assistant, or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational skills
- Working knowledge of contracts and accounting
- Excellent knowledge of Microsoft Office and office management software
