Dean of Student Affairs Position Description
· Part-time remote 20 hours per week (on-campus up to 1 day per week as needed)
· 6 weeks of vacation annually
(includes spring break, Thanksgiving week, Christmas week and 3 weeks of personal leave)
· Annual compensation: $25,000 (no other benefits apply)
Position Responsibilities:
Main Duties
- Provide all duties related to registrar, tuition billing and collection, and student support
- Serves as the Veterans Benefits Officer liaison to the Federal Department of Veteran’s Administration and ensures college compliance with VA regulations.
Registrar Duties
- Manage college admissions office processing qualified prospective student applications, communicating with prospective students to enroll in classes
- Collaborate with Academic Dean to establish semester course offerings
- Collaborate with College President in student retention efforts and assist students with student registration, course choices, and withdrawal process from classes and the college as needed
- Provide guidance to students struggling academically, personally, and financially to develop a plan for the student’s success.
- Oversight of all course substitutions and exceptions
- Serves as custodian of all student academic records, both current and historic, and ensures integrity, security, and confidentiality in compliance with federal and state laws, including FERPA.
- Addresses student requests for assistance regarding residency, grade changes, or any request to adjust a students' permanent record.
- Supervises the evaluation of transfer credit to be posted to students' permanent records.
- Collaborate with College President for submitting and reviewing graduation applications, degree audit reviews, eligibility for graduation, and conferral of degrees, certifications, and honors. Processes and posts degree completions to official record in the Populi system.
Financial Duties
- Manage all student financial accounts and collect on past due student accounts.
- Prepare each term’s student tuition billing and reporting to the College Bookkeeper
Student Support
- Assess the needs of the student body and respond in a timely and effective manner.
- Provide support to students on issues related to the institution’s policies, department processes, and student services.
- Administer and enforce school policies related to discipline and student attendance
- Oversee and supervise the management of student attendance and discipline records
- Enforce college standards for student conduct in concert with the college president
- Communicate to students, faculty, and staff regarding infractions of the code of conduct, academic integrity or other policies
- Mentor and council at-risk students and students in need of additional staff support through Populi Early Alert System
- Assist students in resolving complaints through consultation and mediation; referring students to the college grievance policy as needed
- Serve as the lead student conduct administrator by fairly and equitably interpreting the Student Code of Conduct in collaboration with the College President
Reporting
- Prepare annual statistical reports as needed.
- Prepares periodic reports, maintains comparative Admissions and Records data and uses the data to assess departmental activities.
- Acts as official certifying agent for all requests for enrollment confirmation, official grade transcripts and certification of student records for graduation.
Continuous Improvement
- Conduct regular admissions and registrar office evaluations to determine efficiency, and if required, recommend solutions for improvement.
- Attends conferences and professional meetings to remain current in the field, and ensures the professional development of team members.
- Assists in the development, support and implementation of departmental goals and objectives in support of the goals and strategic plan of the college.
- Provides leadership, recommendations, and oversight for the implementation of technological applications to enhance the services provided to students.
- Other duties as assigned
Job Qualifications
1. Professing, committed Christian who accepts the college Statement of Faith position
2. Master of Finance degree
3. Lives within 50 miles of the college campus location of Spotsylvania Courthouse, VA
4. Registration, billing, and academic administration experience in education
Pay: $25,000.00 per year
