Job Summary:
The Accounts Receivable Specialist primarily is responsible for managing all outstanding balances plus accounts related to deceased clients, including research, documentation, and timely filing of claims with estates. This role requires strong attention to detail, knowledge of probate processes, and the ability to communicate effectively with estate representatives, attorneys, and internal teams to ensure proper resolution and recovery of receivables.
Secondary responsibilities include managing and optimizing the company's accounts receivable processes, ensuring timely collection of payments, and maintaining effective communication with individual offices, clients, and the legal team.
Key Responsibilities:
- Review and identify accounts belonging to general clients and deceased clients with outstanding balances
- Research and verify death status using internal records, public databases, and third-party tools
- Locate estate information, including executors, administrators, and probate court filings
- Prepare, submit, and track creditor claims filed against estates in accordance with state probate laws and deadlines
- Monitor probate case progress and follow up on claim status to ensure timely payment or resolution
- Maintain accurate and detailed documentation of all account activity, correspondence, and filings
- Collaborate with legal, compliance, and billing teams to ensure adherence to regulatory requirements
- Escalate complex or disputed cases as needed
- Review and identify other open account balances as assigned by the manager.
Secondary responsibilities:
- Ensure billing accuracy and maintaining up-to-date customer accounts, have understanding of all payer sources VA, Medicaid, LTCI, Workers Comp, Private Pay, etc.
- Responsible for accounts assigned. Prepare reports and assist in closing month activities
- Communicate clearly with compassion to ODs regarding discrepancies and accounts balances
- Assist with audits by providing documentation and explanations as needed
- Review and improve processes for receiving payments consistently across locations.
- Conduct regular reviews of office accounts receivable to identify outstanding balances.
- Partner with Cornerstone’s LTC and Worker’s Compensation liaison/coordinator to ensure collections practices are in place from the start of care.
- Address unbilled or over-serviced Veterans Affairs (VA) client issues with our third party billers.
