Job Title: Coordinator
Department: Operations
Reports To: Operations Manager
Position Overview:
The Coordinator at Cornel’s Plumbing, Heating & Air plays a critical role in supporting the scheduling, coordination, and administrative tasks necessary to ensure smooth operations for our plumbing and HVAC teams. This position requires strong organizational skills, excellent communication, and the ability to multitask in a fast-paced environment. The Coordinator is responsible for supporting field technicians, maintaining accurate records, and delivering exceptional customer service.
Key Responsibilities:
- Schedule and coordinate service appointments, installations, and maintenance jobs.
- Communicate with customers to confirm appointments, provide updates, and address inquiries.
- Ensure field technicians have accurate job details, parts availability, and necessary information.
- Utilize ServiceTitan to track job progress, update records, and maintain accurate documentation.
- Process work orders, invoices, and job completion reports.
- Collaborate with dispatchers, technicians, and managers to ensure seamless scheduling and job execution.
- Maintain organized records of customer interactions, job details, and service history.
- Assist with inventory tracking and ordering necessary supplies.
- Resolve customer concerns related to scheduling, job status, and service expectations.
- Support company goals for efficiency, customer satisfaction, and workflow optimization.
Qualifications & Skills:
- Prior experience in a coordination, administrative, or customer service role (experience in the trades industry preferred).
- Strong multitasking and problem-solving abilities.
- Excellent verbal and written communication skills.
- Proficiency in using ServiceTitan, Google G Suite, and Apple devices.
- Strong attention to detail and organizational skills.
- Ability to work independently and collaboratively.
- Adaptability to handle last-minute changes and optimize scheduling as needed.
Work Environment & Schedule:
- Full-time position with standard office hours at Cornel’s Plumbing, Heating & Air; may require occasional evenings or weekends.
- Primarily office-based with frequent phone and computer work.
- Fast-paced environment requiring quick thinking and adaptability.
