Our team of specialists provide seamless administrative assistance to faculty, in contributing to the success of an engaging learning experience to our students across our three schools and multiple campuses in Ithaca and New York City. With guidance and coordination of the faculty, our team employs strategies to effectively facilitate student success that supports educational programming across 2 different Bachelor programs, 14 different MBA, MPS, MS, MHA programs, and 3 different PhD programs. Our role is constantly evolving as we navigate the changing landscape of education. The Opportunity The SC Johnson College of Business is seeking a Faculty Support Specialist who will provide broad administrative, organizational, and technical support to faculty, including teaching, research and travel support. In this role, you will: Provide instructional support as requested by faculty – course materials, grade tracking and set-up and maintain Canvas sites, setting up Zoom meetings and webinars, distributing Qualtrics surveys Coordinate class programs Arrange all phases of travel for faculty and guest speakers using Concur to prepare both domestic and international travel reimbursements Process print orders, office supplies, subscriptions and membership renewals using procurement card and e-Shop Assist with the management of faculty accounts and budget tracking Evaluate work and make suggestions on efficiencies and process improvements Support other administrative assistants across the College as needed This is a full-time (40 hours/week) endowed position that is based in Ithaca, NY. This position follows a 4:1 campus-to-home hybrid work schedule after a 6-month period of training and acclimation. This hybrid work schedule is subject to change at any time. Typical work hours are 8am-4:30pm Monday through Friday. What We Need We are looking for a team member who is an effective communicator, collaborative, service-oriented and open to learning and growing in a supportive environment. Additionally, you will: Have completed formal training beyond a HS diploma of 1-2 years, 2 year’s college coursework, or completed an Associate’s degree Technical/vocational school degree; and/or 4-6 years related experience is also acceptable Have the aptitude to handle confidential and sensitive information with utmost discretion and integrity Demonstrate record of successfully providing exceptional customer service Communicate with tact and diplomacy with a wide-range of internal and external constituents Demonstrate sound judgment, creativity, and problem-solving skills Be able to work independently while supporting the efforts of an overall team while fostering a respectful work environment Have excellent organizational skills, and the aptitude to work quickly and effectively under pressure, use sound judgment in accomplishing tasks that are urgent; balance conflicting priorities, and make decisions from a wide range of choices Have excellent written, verbal and interpersonal skills. Must be flexible and receptive to new ideas and approaches Be accurate in spelling, grammar, proofreading and attention to detail Take initiative, meet challenges with resourcefulness and tact, have ability to work independently Be proficient in Outlook, Microsoft Word, Excel, Access, and PowerPoint If you possess these experiences and skills this may be the role for you!
