OverviewThe Client Success Specialist works in a client-focused, team-centered environment assisting the advisory team as the central point of contact for client requests. As a Client Success Specialist, you will be expected to communicate with clients daily to address their day-to-day needs.
Responsibilities- Preparing Client documents
- Maintaining Files/ Vault/Organization of sub docs, tax returns, estate planning documents
- Researching Client Issues
- Ensure subscription docs/W9s are in the correct title and filed
- Database management -Provide database manager with updates to the PMS system, submit requests to update market value, cost basis, contributions, realized gains for Alts.
- Correspondence to clients both written and electronic
- Coordination of and preparation for client review meetings, minutes and follow ups
- Assistance and input in the facilitation of quarterly client reviews, and formal client presentations.

- Net Worth and Projected Income
- Gifting Summary
- Charitable Summary
- Real Estate & Alternative coordination with Research Alts Manager
- Update Commitments, Retitling, cash liquidity and timing of capital calls
- Life Insurance Summary, premiums
- Inter-Family Loans and ensure interest payments are made
- Exit Summary, record all exits/proceeds clients have received
- Expense Analysis/Budgeting where applicable
- Contact Summary for clients
- Submit cases/tasks in Salesforce for Ops Karla/Jiselle to execute, based on requests from Advisors
- Update Client Portal where applicable
- Coordination with PCFO if client has PCFO, reconcile cash movements
- Coordination with CPA
- Realized Gains/Losses and YTD Interest/Dividends for CPA to do projections
- Coordination of K1/1099 Inventory with CPAs and answer any questions that might arise. Reconcile Distributions on K1s to make sure all cash was received for the year.
- Track any home improvements, property taxes to send to CPA
- Estate Planning Coordination with Advisor, summary of ownership, EINs, Beneficiaries
- Crummey Letters
- Annual Filings
- Adhoc Projects and Project Management
- Local office interaction with other support members, Advisors and Management
Bachelor's degree from an accredited institution-Accounting or Finance degree preferred
Minimum of 3-5 years' experience
- Intermediate to Advanced Excel and PowerPoint
Experience with Salesforce, Portfolio Accounting Software, Docusign, Microsoft Suite (competency or ability to learn quickly)
Customer service background preferred
Excellent verbal, written, analytical, and organizational skills
Ability to identify, meet and follow through with client needs and requests
Able to work independently
Enjoy being part of a team
Must be highly flexible and confidential with all client and firm matters
