Job Overview
Core Wealth Advisory, an Independent financial advisory firm in Waltham, MA is seeking a take-charge, service driven Administrative Assistant to support investment professionals and their clients. Striving for excellence is at the core of everything we do. Candidates for this role must be precise, methodical, and collaborative in nature. Must be able to work in a fast-paced evolving environment, multi-task, and meet firm deadlines. Strong analytical, organizational, computer, and communication skills are critical (MS Office and Adobe are a must). Strong preference for candidates with investment, securities, and CRM experience.

Summary of responsibilities
This position provides front office reception desk services, administrative support to the advisors, interfacing with clients and maintaining operating efficiency with paperwork and software programs.

Principal Job Responsibilities

Provide Support to Financial Advisors, Clients and firm by

  • Managing the reception desk to create a welcoming environment for our clients and visitors
  • Greeting clients, answering calls, coordinating schedules and meetings
  • Handling phone calls from clients, when appropriate; transfer calls to advisor, when required
  • Completing forms and applications correctly and submitting them for processing in a timely manner
  • Organizing/Filing client statements, correspondence, and agreements
  • Assist in preparation of client review meetings by adhering to firm workflow processes
  • Gathering/Updating client information in CRM systems
  • Communicating with clients on service, transactional, and informational matters. Provide an “excellence in service” approach to all client interactions and manage these with utmost discretion, confidentiality and professionalism.
  • Serving as a liaison between clients, advisors, and back office to build rapport as a trusted resource for client inquiries
  • Handling advisor and office needs proactively
  • Performing mail merge for mailings, as directed by advisor(s)
  • Learning/Using COMMunity Link® to access Commonwealth resources efficiently
  • Managing office resources/supplies as well as vendors and deliveries
  • Making recommendations to systematize and improve office functions
  • Regularly reviewing Commonwealth news items, technology updates, and e-mail communications; reporting pertinent information back to advisor(s)

Required Skills/Qualifications

  • BA or BS, in Business a plus
  • Five years’ experience in an administrative role or three years’ experience in financial services
  • Use of appropriate interpersonal styles to communicate effectively, verbally and written
  • Strong customer focus
  • Team player who represents and advances the firm’s culture
  • A self-starter who takes ownership of projects and completes them with minimal supervision
  • Demonstrate pride, integrity and initiative in all aspects of your work
  • Exceptional computer skills and proficiency with Microsoft Office Suite and Adobe Acrobat Pro
