The Administrative Assistant to the Managing Director provides high-level executive and administrative support to ensure the seamless operation of the Managing Director’s office. This role requires a proactive, detail-oriented professional who can manage competing priorities, maintain confidentiality, and serve as a key point of coordination across the organization.
The Administrative Assistant plays a critical role in optimizing the Managing Director’s effectiveness by managing complex schedules, coordinating internal and external communications, and supporting strategic and operational initiatives.
Key Responsibilities
- Manage and maintain the Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements
- Coordinate and prepare materials for meetings, briefings, and presentations, ensuring the Managing Director is well-prepared
- Serve as a primary liaison between the Managing Director and internal staff, external partners, and stakeholders
- Draft, review, and manage correspondence, reports, and official communications on behalf of the Managing Director
- Track action items, deadlines, and follow-ups to ensure timely execution of priorities and projects
- Maintain organized records, files, and documentation systems (electronic and physical)
- Support special projects, strategic initiatives, and cross-departmental coordination as assigned
- Exercise discretion and professionalism in handling sensitive and confidential information
- Assist in improving administrative processes and workflows to enhance operational efficiency
